About the Role
We are looking for a highly agency and proactive Executive Assistant to support our leadership team across Gurgaon. In this role, you will act as a critical support pillar for the Leader's office, ensuring smooth operation by managing schedules, facilitating communications, and overseeing logistics. You will be integral to maintaining the leadership's focus on core strategic responsibilities while ensuring organizational efficiency across our operations.
What You'll Do
You will be responsible for a wide range of administrative, operational, and strategic support tasks, incluing:
- Calendar & Schedule Management: Manage and maintain the Leader's schedule, appointments, and key priorities on a daily basis.
- Operational Coordination: Coordinate with internal teams to ensure smooth office operations in Gurgaon.
- Meeting & Event Management: Coordinate high-priority internal meetings, company events, and travel logistics for leadership. This includes preparing agendas, briefing notes, and follow-up trackers.
- Stakeholder Interaction: Act as the primary point of contact for the leadership office, coordinating interactions with investors, key partners, and senior leaders to ensure timely closure of priorities.
- Reporting & Documentation: Assist in the preparation and circulation of PPTs, Minutes of Meetings (MOMs), and statutory documents. Consolidate updates, dashboards, and reports for leadership review
- Vendor & Expense Management: Support vendor negotiations, contracts, and timely payments while ensuring office inventory is well-managed. Assist in budget tracking for administrative and operational expenses.
This is not an exhaustive list of responsibilities held by an EA. The role holder is expected to manage multiple workstreams across a set of leaders and ensure that operations are tight, preparation is thorough, and planning is proactive rather than reactive.
What We Need
- Experience: 5-6 years of relevant experience as an Executive Assistant or in a Chief of Staff support role, preferably supporting CEO/Board-level lead
- Education: Graduation in any discipline is mandatory; Post-Graduation (MBA or equivalent) is preferred.
- Key Skills:
- Strong organizational, planning, and prioritization skills.
- Excellent written and verbal communication.
- Attention to detail with strong follow-through.
- Proficiency in MS Office / Google Workspace (presentations, spreadsheets, documentation).
- Adaptability: Ability to thrive in a fast-paced, high-ownership environment and navigate confidential information with trust and discretion.
- The EA is expected to operate with ownership, judgment, and flexibility, adapting to changing priorities and evolving needs of the organisation.
