Job Description

Role: Executive Assistant

Location : Bangalore

1. Executive Support & Strategic Coordination

  • Manage the executives calendar, including scheduling meetings, conferences, teleconferences, and travel logistics with precision.
  • Oversee day-to-day operations, ensuring both professional and personal requirements of the executive are handled seamlessly.
  • Act as the primary liaison between the executive and internal/external stakeholders maintaining clarity, professionalism, and discretion.
  • Track, follow up, and ensure timely completion of key projects, deliverables, and assigned tasks.

2. Operational Excellence & Process Management

  • Maintain an organized repository of data, investments, and key information

across multiple verticals including staff management and expense reporting.

  • Demonstrate proficiency in Google Suite, Notion, Slack, and expense management tools for efficient documentation and task execution.
  • Manage and sustain vendor relationships, ensuring timely deliverables and reliable partnerships.
  • Maintain and secure confidential documents such as KYC files, credentials, payment details, and contact directories.

3. Communication & Stakeholder Management

  • Welcome and engage guests, partners, and stakeholders professionally both in person and via phone or virtual channels.
  • Stay proactively responsive across communication platforms WhatsApp, email, Slack) to ensure swift updates, follow-ups, and decisions.
  • Exhibit excellent written and verbal communication skills, ensuring clarity and professionalism across all correspondence.

4. Emotional Intelligence & Professional Conduct

  • Uphold a calm, patient, and composed demeanor under pressure while handling sensitive or demanding situations.
  • Maintain a high level of emotional intelligence and interpersonal sensitivity in interactions across all levels.
  • Take ownership and demonstrate initiative, consistently driving tasks to completion with minimal supervision.
  • Display strong problem-solving abilities, adaptability, and a proactive mindset.
  • Manage multiple priorities effectively through exceptional organizational and time-management skills.

5. Technical & Analytical Proficiency

  • Exhibit high tech proficiency and the ability to leverage AI tools for daily tasks, automation, and productivity optimization.
  • Stay curious and self-educate continuously to adapt and increase productivity for the CXO

6. Experience & Personal Attributes

  • 3 years of experience supporting CXOs or senior leadership in fast-paced environments.
  • Self-motivated, empathetic, and results-oriented professional with a strong sense of accountability and integrity.
  • Ability to maintain and withold trust with the immense integrity and credibility.
