Job Description

Your key tasks and responsibilities will be:

Executive Support

  • Provide comprehensive administrative support to Transport India leadership, including calendar management, meeting coordination, and inbox management
  • Prepare presentations, briefing notes and reports
  • Manage confidential information with the highest level of integrity and discretion

Stakeholder Management & Communication

  • Act as a professional interface between internal and external stakeholders
  • Draft, review, and manage clear, concise, and professional correspondence
  • Coordinate follow-ups and track action items across meetings

Meetings & Leadership Coordination

  • Plan and coordinate Transport meetings, workshops, and review sessions
  • Prepare agendas, supporting materials, and minutes of meetings
  • Monitor timelines and ensure timely closure of agreed actions

Travel, Events & Logistics

  • Arrange domestic and international travel, including itineraries, visas, and logistics
  • Support organization of leadership offsites, client meetings, and business events
  • Process and track expense claims in line with Ramboll policies

Project & Business Support

  • Support Transport leadership on ad-hoc strategic initiatives and internal projects
  • Assist in coordination across business lines, markets, and regions
  • Contribute to improving administrative processes and ways of working

Qualifications

  • Strong organisational and prioritisation skills
  • Excellent written and verbal communication abilities
  • High level of professionalism, discretion, and judgment
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Ability to work independently in a fast-paced environment
