Primary title: Executive Assistant to Managing Director
About The Opportunity
A technology-focused organization operating in the AI-driven enterprise software and services sector. We support senior leadership in driving strategic initiatives, client engagements, and cross-functional execution at scale. This on-site role in India partners directly with the Managing Director to maximise productivity and operational effectiveness.
Role & Responsibilities
- Manage the MD's complex calendar: prioritize meetings, coordinate diaries across time zones, and proactively resolve scheduling conflicts.
- Plan and execute domestic and international travel logistics, visas, itineraries, and on-trip support to ensure smooth travel for leadership.
- Prepare high-quality presentations, briefings, and meeting packs using PowerPoint and Excel; synthesize notes and action items into clear follow-ups.
- Own expense reporting, invoice reconciliation, and liaison with finance to track approvals and reimbursements accurately.
- Act as a confidential gatekeeper and liaison point for internal and external stakeholders; manage sensitive communications and follow through on commitments.
- Coordinate executive meetings, offsites and events end-to-end: agenda setting, logistics, minute-taking and tracking of action items to closure.
Skills & Qualifications
Must-Have
- Proven experience supporting C-level / Managing Director or equivalent (senior leadership) in a fast-paced corporate environment.
- Advanced calendar management and travel coordination capabilities.
- Proficiency in Microsoft Outlook, Microsoft Excel, Microsoft PowerPoint and Google Workspace.
- Strong expense management and familiarity with corporate travel/booking tools.
- High discretion handling confidential information and stakeholder communication.
- Excellent minute-taking, meeting preparation and task-tracking discipline.
Preferred
- Experience with CRM or collaboration platforms such as Salesforce or Concur.
- Prior exposure to technology or AI/enterprise software industry environments.
- Basic familiarity with office administration systems and vendor management.
