Position Overview:
An Executive Assistant (EA) to the Managing Director (MD) manages the MD's schedule, coordinates meetings and travel, handles confidential correspondence, and supports projects and strategic initiatives. This role acts as a central point of contact, requiring strong communication, discretion, and organizational skills to support senior leadership and ensure efficient operations. Key duties include preparing documents and presentations, liaising with stakeholders, and ensuring all administrative tasks are handled with professionalism.
Key Responsibilities:
Calendar and schedule management: Manage the MD's complex calendar, schedule meetings and appointments, and arrange travel logistics.
Communication and liaison: Serve as a point of contact between the MD, internal departments, senior management, clients, and external partners. Handle incoming calls, emails, and other correspondence on behalf of the MD.
Document and report preparation: Prepare, edit, and proofread documents, presentations, reports, and correspondence.
Meeting coordination: Organize and prepare for meetings, including preparing agendas, taking minutes, and following up on action items.
Project and strategic support: Assist with and track progress on strategic initiatives and projects, including liaising with project departments to provide updates to the MD.
Information and record management: Manage confidential and sensitive information with discretion, and maintain organized filing systems and records.
Administrative support: Handle general administrative tasks and provide support to the MD and executive team, taking initiative as needed, especially in the MD's absence.
Required skills and qualifications
Proven experience as an Executive Assistant or in a similar senior administrative role.
Exceptional organizational and time management skills.
Strong verbal and written communication skills, and the ability to interact professionally with stakeholders at all levels.
High level of integrity and discretion for handling confidential information.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask, prioritize tasks, and work independently in a fast-paced environment.
Strong problem-solving and decision-making abilities.
Candidate should be free of personal commitments as would need to travel at times and work extended hours when the need arises.
