Job Title: Executive Assistant to CEO

About The Role

We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the CEO at Sioniq. This role requires exceptional multitasking ability, strong communication skills, and a high level of discretion. The ideal candidate will play a critical role in ensuring the CEO's day-to-day operations run smoothly and efficiently.

Key Responsibilities

  • Calendar & Schedule Management
  • Manage and optimize the CEO's calendar, including meetings, appointments, and priorities
  • Coordinate internal and external schedules, ensuring efficient time allocation
  • Meeting Coordination & Scheduling
  • Schedule, organize, and prepare for meetings
  • Draft agendas, capture minutes, and track action items
  • Ensure timely follow-ups on decisions and deliverables
  • Task Management & Follow-ups
  • Track key tasks, deadlines, and projects across teams
  • Proactively follow up with stakeholders to ensure completion
  • Act as a bridge between the CEO and internal teams
  • Communication Management
  • Manage emails, calls, and other communications on behalf of the CEO
  • Draft, review, and send professional correspondence
  • Serve as a point of contact for internal and external stakeholders
  • Reporting & Documentation
  • Prepare reports, presentations, and summaries for the CEO
  • Maintain organized records, documents, and files
  • Support data tracking and reporting processes
  • Travel & Event Coordination
  • Plan and manage travel arrangements (flights, accommodation, itineraries)
  • Coordinate internal events, meetings, and external engagements
  • AI Tools & Productivity Enablement
  • Utilize AI tools to enhance productivity, scheduling, reporting, and communication
  • Identify opportunities to automate workflows and improve efficiency

Qualifications & Skills

  • Bachelor's degree in Business Administration or related field
  • 2–5 years of experience as an Executive Assistant or similar role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in MS Office / Google Workspace
  • Familiarity with AI tools and productivity software
  • High level of discretion and confidentiality
  • Ability to work in a fast-paced, dynamic environment
