About The Role
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the CEO at Sioniq. This role requires exceptional multitasking ability, strong communication skills, and a high level of discretion. The ideal candidate will play a critical role in ensuring the CEO's day-to-day operations run smoothly and efficiently.
Key Responsibilities
- Calendar & Schedule Management
- Manage and optimize the CEO's calendar, including meetings, appointments, and priorities
- Coordinate internal and external schedules, ensuring efficient time allocation
- Meeting Coordination & Scheduling
- Schedule, organize, and prepare for meetings
- Draft agendas, capture minutes, and track action items
- Ensure timely follow-ups on decisions and deliverables
- Task Management & Follow-ups
- Track key tasks, deadlines, and projects across teams
- Proactively follow up with stakeholders to ensure completion
- Act as a bridge between the CEO and internal teams
- Communication Management
- Manage emails, calls, and other communications on behalf of the CEO
- Draft, review, and send professional correspondence
- Serve as a point of contact for internal and external stakeholders
- Reporting & Documentation
- Prepare reports, presentations, and summaries for the CEO
- Maintain organized records, documents, and files
- Support data tracking and reporting processes
- Travel & Event Coordination
- Plan and manage travel arrangements (flights, accommodation, itineraries)
- Coordinate internal events, meetings, and external engagements
- AI Tools & Productivity Enablement
- Utilize AI tools to enhance productivity, scheduling, reporting, and communication
- Identify opportunities to automate workflows and improve efficiency
Qualifications & Skills
- Bachelor's degree in Business Administration or related field
- 2–5 years of experience as an Executive Assistant or similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in MS Office / Google Workspace
- Familiarity with AI tools and productivity software
- High level of discretion and confidentiality
- Ability to work in a fast-paced, dynamic environment
