Key Responsibilities
Calendar & Diary Management
- Manage complex calendars involving multiple stakeholders and time zones
- Schedule, reschedule, and coordinate meetings efficiently
- Ensure executives are informed of all changes and priorities
Travel Management
- Plan and coordinate domestic and international travel arrangements
- Manage complex itineraries with multiple destinations and changes
- Handle visa, passport, and travel documentation requirements
Meeting & Event Coordination
- Arrange meetings, conferences, and video/audio calls globally
- Coordinate with meeting/event planning teams when required
- Prepare meeting materials and follow-ups with relevant inputs
Administrative & Documentation Support
- Prepare correspondence, reports, proposals, and presentations
- Handle email and mail sorting, prioritization, and action tracking
- Maintain records, distribution lists, and documentation systems
- Support time, expense reporting, invoicing, and reconciliation activities
Stakeholder & Communication Management
- Act as liaison between executives, clients, and internal teams
- Manage executive communications, including handling calls independently
- Build and maintain strong professional relationships with stakeholders
Third-Party Coordination
- Coordinate with internal and external vendors and service providers
- Resolve support-related issues on behalf of executives
Operational & Problem Solving Support
- Independently manage non-routine administrative tasks
- Identify required actions from communications and execute appropriately
- Track work requests and ensure timely completion
Confidentiality & Professional Conduct
- Maintain strict confidentiality and discretion in all matters
- Represent executives professionally in all interactions
