Job Description

Job Title: Executive Assistant

Qualification: BE/BTech + MBA (Optional)

Job Purpose

The Executive Assistant (EA) will provide high-quality strategic, administrative, and operational support to senior leadership. The role requires strong analytical ability, planning skills, and the capability to compile, coordinate, and drive strategic initiatives. The EA will act as a key enabler in supporting decision-making, improving processes, and ensuring timely execution of business priorities.

Key Responsibilities

1. Executive Support & Coordination

  • Manage calendars, appointments, meetings, and travel arrangements for senior leaders.
  • Act as a bridge between leadership and internal/external stakeholders.
  • Ensure timely follow-up on action items, decisions, and deliverables.

2. Strategic & Business Support

  • Support the leadership team in strategy loading, business reviews, and planning cycles.
  • Prepare presentations, business reports, and dashboards for leadership meetings.
  • Assist in tracking KPIs, projects, and organizational initiatives.

3. Data Compilation & Analysis

  • Compile data from various departments for MIS, management reviews, and strategic planning.
  • Analyze trends and provide insights to support decision-making.
  • Maintain documentation, records, and knowledge repositories.

4. Communication & Documentation

  • Draft emails, notes, communication briefs, and internal memos on behalf of leadership.
  • Prepare professional and structured documentation for internal and external communication.
  • Coordinate with cross-functional teams to gather, validate, and compile required information.

5. Stakeholder Management

  • Liaise with internal teams, vendors, and external partners to support leadership priorities.
  • Ensure confidentiality, professionalism, and accuracy in all interactions.

6. Administrative Excellence

  • Manage office operations related to the leadership suite.
  • Handle expense management, reimbursements, budgeting support, and logistics.
  • Oversee planning and coordination of events, reviews, and leadership engagements.

Required Skills & Competencies

  • Strong compilation, coordination, and project management skills.
  • Good understanding of corporate strategy processes and business planning.
  • Excellent communication (written & verbal) and interpersonal skills.
  • Advanced proficiency in MS Excel, PowerPoint.
  • Ability to multitask, prioritize, and work with tight deadlines.
  • High levels of integrity, confidentiality, and professionalism.
  • Strong problem-solving and decision-support abilities.

Preferred Qualifications

  • Engineering Degree (BE/BTech) + MBA (Regular)
  • Experience supporting Leadership teams (2–3 years)
  • Exposure to business analysis, planning, or strategy functions is an advantage
