About the role

The Executive Assistant to the CEO's Office will provide comprehensive administrative, operational, and coordination support to the CEO and family, ensuring seamless efficiency across business and personal workflows. They will manage complex calendars, travel, documentation, communication, and stakeholder interactions with discretion and precision.

The role demands strong organizational and communication skills, proactive follow-throughon tasks and commitments, and the ability to collaborate across teams and externalpartners. This position is ideal for someone who thrives in a fast-paced environment,maintains high confidentiality, and delivers consistently high-quality execution.

Roles and responsibilities

  • Offer timely and accurate administrative support to the CEO and family members.
  • Schedule, manage, and optimize the calendar and coordinate meetings.
  • Ensure meetings have agendas, pre-reads, minutes, and supporting documents.
  • Maintain MoMs and help in timely follow-ups with respective representatives as per discussions therein.
  • Host guests/visitors and program manage meetings as per schedule.
  • Document, track, follow up, and ensure completion of tasks or commitments for initiatives, projects and deliverables.
  • Draft emails, communication, letters, personal correspondence, etc.
  • Manage confidential documents, digital filing, reports, and keep all relevantinformation up to date in drives
  • Research, prioritize, and follow up on incoming requests, issues, or concerns
  • Collaborate with cross-functional teams, program leads, and Embassy group stakeholders
  • Collaborate with the admin team and travel agencies to plan and execute the CEO and family members travel
  • Support with executing monthly, weekly, and annual events - business events, meals with internal and external stakeholders, meetings, QBR, family functions, etc.
  • Manage business travel, accommodation, and track all related expenses.
  • Maintain paperwork documentation for the CEO's office tasks.
  • Maintain personal paperwork and documentation for the CEO and family members.
  • Ensuring all travel-related paperwork, e.g., passport, visa, permits are valid and in place for frequent destinations for the CEO and family members.
  • Expense tracking, budgeting, and updation for the CEO's office on tools like Fast Collab, Aerchain, and SAP.
  • Maintaining a tracker of regular fees and payments to be made on behalf of the CEO and family members, like - Various Club membership fees - YPO, Bay club, BLR club, KGA, etc., Children's School fee, credit cards, etc.
  • Tracking key business and personal stakeholders key dates and events, and maintaining the same on a database with address, numbers, and birthdays
  • Facilitate CEO and family member relationship management by organizing flowers, gifts, and planning celebrations
  • Support with creative deliverables for the CEO Office tasks, like spreadsheets, invites, and presentations.

Experience and qualifications

  • Bachelor's/Master's degree in Business or related field.
  • 6+ years of experience supporting C-level executives
  • Experience in cross-stakeholder collaboration, partnership development, and travel management
  • Excellent interpersonal skills and ability to collaborate with stakeholders.
  • Excellent problem-solving and decision-making.
  • Ability to adapt to competing demands and changing priorities.
  • Ability to handle confidential information with discretion.
  • Proficient with Microsoft Office, Google Suite, and travel tools.
  • Clear, concise, and effective written and oral communication skills.
  • Proven track record of consistency in achieving targets.
  • Degree in hospitality or an associated field
  • Prior experience in program, guest, travel, and stakeholder management
  • Proven experience as an executive assistant or in a secretarial position
