Role Summary
The Executive Assistant supports managing director by managing schedules, coordinating meetings, tracking actions, handling communication, and maintaining documentation to ensure smooth daily operations.
Key Responsibilities
1. Calendar & Meetings Management
- Manage and update calendar daily
- Schedule/reschedule meetings and inform all attendees
- Send daily meeting summary and reminders
- Prepare and finalise meeting agendas
2. Meeting Minutes
- Join meetings on time and record minutes
- Share live notes and finalise minutes
- Convert discussions into action items
3. Follow-Up & Projects
- Maintain and update follow-up tracker daily
- Create structured follow-up plans.
- Track progress until completion and collect evidence
- Report updates to supervisor
4. Document Review
- Check documents (content, format, grammar)
- Coordinate revisions and approvals
- Support supervisor review and follow-up
5. Email Management
- Monitor and priorities emails
- Share important summaries
- Draft responses and follow-up on tasks
6. System & Documentation
- Organise and maintain centralised document system
- Create folders, templates, and backups
