Director of Operations
Podify is a media and production company helping founders, authors, speakers, and mission-driven organizations build platforms that amplify their message and expand their impact.
We are looking for a Head of Operations to take ownership of our entire delivery engine, ensuring projects are delivered on time, clients are supported at a high level, and the team operates efficiently without constant founder involvement.
Your primary responsibility to ensure operational excellence at all levels of the business.
This is a leadership role responsible for building and running the operational system that powers the company.
What This Role Owns This person owns everything from client signs to the client gets results
1. Delivery & Deadlines- Ensure all client deliverables are completed on time
- Build and maintain production timelines across all accounts
- Identify delays early and proactively solve them
- Create a system where late delivery becomes rare
2. Client Experience - Own the day-to-day client experience across all accounts
- Ensure clients feel informed, supported, and confident
- Handle escalations before they reach the founder
- Improve retention by creating consistency and trust
3. Production System- Design and implement a clear production workflow (end-to-end)
- Standardize how episodes, clips, and assets move through the system
- Reduce chaos, rework, and missed details
- Implement QA (quality assurance) checkpoints
4. Team Management and Accountability- Manage editors, producers, and support team members
- Ensure everyone knows priorities, deadlines, and expectations
- Identify underperformance and fix it quickly
- Balance workloads across the team
5. Capacity and Resource Planning- Know exactly how much work the team can handle at any given time
- Prevent overload before it happens
- Help leadership understand when to hire or adjust scope
6. Process & Systems- Build SOPs (Standard Operating Procedures) for repeatable work
- Implement tools (ClickUp, Notion, etc.) in a way that actually works
- Continuously improve efficiency and reduce friction
7. Founder Leverage- Act as a filter so the founders are not pulled into day-to-day issues
- Only escalate what truly requires leadership input
- Help transition the company from founder-dependent → system-driven
What Success Looks Like (KPIs)Within 60–90 days:
- 95%+ of deliverables are on time
- Clear visibility across all projects (nothing is unknown)
- Founder is no longer involved in day-to-day delivery issues
- Client communication is consistent and proactive
- Team knows exactly what they are responsible for
- Fewer revisions, fewer mistakes, fewer fire drills

Required Experience- 4–8+ years in operations, production, or delivery leadership
- Proven experience managing multiple clients/projects simultaneously
- Experience with creative workflows (video, audio, content, design)
- Strong understanding of deadlines, resource allocation, and team coordination
- Experience improving processes, not just following them
