Job Description: Customer Service Executive (Day Shift)

Company : The Bombay Skin Clinic, Mumbai

Role type : Full-time, On-site

Experience: 1 to 3 years in Customer Service (any industry)

Shift: 9 hours, day shift only (no night shifts)

Weekly off : Fixed week off

Work timings : Flexible within the day shift roster

Role Summary

You will be the first point of contact for patients, handling inbound queries on calls, WhatsApp, and email, guiding them with empathy and clarity, and ensuring a smooth appointment and follow-up experience. This role is service-first, focused on patient experience and coordination, not sales.

Key Responsibilities

Handle inbound calls, WhatsApp messages, website enquiries, and emails.

Understand patient concerns, share accurate clinic information, and guide them to the right appointment flow.

Provide clear information on consultation process, clinic locations, appointment availability, and basic pre-visit instructions.

Maintain a calm, empathetic tone with anxious or confused patients, ensure excellent service recovery.

Appointment and Schedule Management

Book, reschedule, and confirm appointments, including reminder calls/messages.

Coordinate with doctors, therapists, and front desk to ensure smooth patient movement and minimal delays.

Manage follow-ups for pending confirmations, missed appointments, and post-visit coordination.

Records and Coordination

Update patient details and interaction notes accurately on the system (CRM or patient records).

Tag and route queries to the correct internal team when medical input is needed.

Support day-to-day coordination with the clinic teams to maintain a high-quality patient experience.

Experience

1 to 3 years of customer service experience (any industry is fine).

Experience in healthcare, hospitality, premium retail, or service brands is a plus, not mandatory.

Skills

Strong spoken communication, polite, confident, and patient-friendly.

Comfortable with WhatsApp, calling, and basic email etiquette.

Basic computer skills, ability to learn CRM or patient record software quickly.

Basic Excel skills are a plus.
