About The Role

We are seeking an experienced and detail-oriented Bookkeeper & Payroll Administrator to join our team. This senior-level role requires an individual capable of independently managing the full cycle of bookkeeping, payroll processing, and compliance specifically tailored to trucking and logistics operations. The ideal candidate will possess a deep understanding of North American trucking accounting practices, including Canadian payroll, GST/HST, IFTA, and fuel tax reporting. This is a hands-on position that does not involve supervisory responsibilities but demands a high level of accuracy, accountability, and familiarity with the industry's financial nuances. The successful candidate will work remotely, supporting our operations across the USA and Canada, ensuring all financial activities are compliant with relevant regulations and accurately reflected in our financial statements.

Qualifications

The ideal candidate must have a minimum of two years of bookkeeping experience with North American companies, encompassing both Canada and the USA. Proven hands-on experience with QuickBooks Online is mandatory, with at least two years of active use. Additionally, direct experience in trucking or transportation accounting is essential, ensuring familiarity with industry-specific financial processes. Candidates should have a solid understanding of Canadian payroll procedures, including T4 filings and CRA compliance. Expertise in GST/HST and IFTA reporting is required, along with advanced Excel skills for data analysis and reporting. The ability to work independently with minimal supervision is crucial, demonstrating strong organizational skills and self-motivation. Fluency in English, both spoken and written, is mandatory to facilitate clear communication within our North American team.

Responsibilities

  • Manage the complete bookkeeping cycle for trucking and logistics operations, ensuring accuracy and timeliness.
  • Handle accounts payable and receivable, including fuel cards, tolls, permits, and vendor payments.
  • Process Canadian payroll, including driver settlements, reimbursements, and T4 reporting, ensuring CRA compliance.
  • Prepare and file GST/HST and other CRA-related tax reports accurately and on schedule.
  • Manage IFTA and provincial fuel tax reporting, ensuring compliance with all regulatory requirements.
  • Perform bank and credit card reconciliations to maintain accurate financial records.
  • Track equipment costs, depreciation, and maintenance expenses to support financial analysis and reporting.
  • Prepare monthly financial statements such as Profit & Loss, Balance Sheet, and Cash Flow statements.
  • Support year-end closing processes, audits, and other financial review activities to ensure compliance and accuracy.
