The Disputes Co-Ordinator is responsible to resolve disputes and engage in root cause analysis and fixing of issues. Researching and resolving various types of disputes raised by the Accounts Receivable Collections team and/or customer and timely resolution.
. Contacting warehouses and vendors for stock check, stock adjustment, return initiation, Proof of delivery, credit release etc as per escalation matrix
. Liaising with internal Avantor teams like Pricing, Sales, CMD, Customer service, AP, B2B, Collections & Cash Applications in order to resolve the dispute case and prevent the recurrences of similar errors
. Entering credits and debits in the SAP system as per the nature of the dispute case suggesting to write off unresolvable disputes and access C4C for archives and documentation of credits issued
. Root cause and trending analysis of disputes, suggesting and implementing corrective and preventive measures
. Performs research and collects the findings to help resolving the case using based on experience and client business knowledge. Also present evidences during Audit to ensure compliance and all necessary approval.
. As a member of the team, participates in meeting service levels, key measurement targets of the team, delivers a high quality and cost effective service and oversees the process (or part of process) and customer service decisions.
. Researches customer specific disputes and deductions for validity - Reviews and approves credits raised by Collections team. If deduction is invalid, provides proof to support collection efforts. Reviews account reconciliations Reviews problem accounts, suggests solutions and re-routes or escalates based on own judgment.
. Conducts process redesign to ensure improvement within client context Manages control and compliance agenda in the client context within the given area of expertise
. Prepares recommendations with regards to actions Reviews query developments and trends at various customer levels providing root cause analysis of anomalies and recommend solutions
. Performing tests to see whether the systems are effectual or not
. Communicating with the supervisor in case of any technical glitches that won't allow the targets to be met
. Assist team with gathering support for all audits, including pulling documentation
. Ensuring that all the matters have been raised in accordance with the guidelines or rules and regulations of the company
. Providing necessary suggestions to enhance the work environment of the company
