This is an executive assistant role focused on operational excellence. You will be the COO's force multiplier -- managing their calendar, coordinating travel, handling correspondence, preparing for meetings, and ensuring nothing falls through the cracks.
This is not a strategic or chief-of-staff position. This role is about flawless execution of day-to-day operations: keeping the COO's time protected, communication flowing smoothly, and administrative processes running without friction.
The right person for this role is organized to a fault, communicates clearly and professionally, follows through on every detail, and takes pride in making the people around them more effective.
What You'll DoCalendar and Schedule Management (30%)- Own the COO's calendar end-to-end: scheduling, rescheduling, conflict resolution, and buffer management
- Coordinate meeting times across internal teams, clients, and external partners
- Send calendar invites with clear agendas, location/link details, and required prep materials
- Proactively flag scheduling conflicts and propose solutions before they become problems
- Maintain a daily/weekly briefing of upcoming commitments and deadlines
Communication and Correspondence (25%)- Draft, proofread, and send emails on behalf of the COO -- professional, clear, and error-free
- Screen and prioritize incoming communication, flagging urgent items and filtering noise
- Manage follow-up threads: ensure responses are sent, commitments are tracked, and loops are closed
- Maintain templates for recurring communication (client updates, internal memos, vendor correspondence)
- Serve as a communication bridge between the COO and internal/external stakeholders
Travel and Logistics (15%)- Research and book flights, hotels, cabs, and co-working spaces for business travel
- Prepare detailed travel itineraries with confirmation numbers, addresses, contact details, and backup options
- Handle last-minute changes, cancellations, and rebookings calmly and efficiently
- Coordinate visa/documentation requirements for international travel when needed
- Manage travel expense tracking and reimbursement submissions
Meeting Support and Follow-ups (15%)- Prepare meeting briefs: attendee backgrounds, agenda items, relevant documents, and talking points
- Take notes during key meetings and circulate clear, actionable summaries within 24 hours
- Track action items from meetings and follow up with owners on deadlines
- Ensure the COO walks into every meeting prepared and walks out with clear next steps documented
- Coordinate recurring meeting cadences (weekly syncs, monthly reviews, quarterly planning)
Office and Admin Operations (15%)- Manage vendor relationships for office supplies, subscriptions, and services
- Handle document organization: filing, version control, and access management
- Process invoices, coordinate with the finance team on payments, and maintain basic expense records
- Coordinate office logistics: visitor arrangements, meeting room bookings, event support
- Maintain and update internal trackers, SOPs, and administrative databases
What Success Looks Like in 3 Months- The COO's calendar runs smoothly with zero double-bookings or missed meetings
- All correspondence is handled promptly, professionally, and without errors
- Travel arrangements are booked proactively with complete itineraries and backup plans
- Meeting action items are tracked systematically, and nothing falls through the cracks
- You have built a reliable system for recurring tasks and the COO trusts you to handle things independently
- Internal stakeholders see you as the go-to person for anything that needs the COO's attention or coordination
Must-Have Skills- Organization and Time Management - You can juggle multiple priorities without dropping any. You use systems (lists, calendars, trackers) to stay on top of everything.
- Written Communication- Your emails are clear, professional, and typo-free. You can draft correspondence that represents the COO's voice accurately.
- Proactive Follow-Through - You do not wait to be reminded. If something is pending, you chase it. If a deadline is approaching, you flag it early. Nothing drops.
- Tool Comfort - You are proficient with Google Workspace (Gmail, Calendar, Docs, Sheets), calendar management tools, and spreadsheets. You can learn new tools quickly.
- Professional Demeanor - You represent the COO's office. You are polished, composed, and appropriate in all interactions -- with clients, vendors, and internal teams.
- Attention to Detail- You catch the small things: a wrong date, a missing attachment, an inconsistent number. Details matter to you.
- Discretion and Confidentiality- You handle sensitive information (financial details, client conversations, strategic discussions) with maturity and confidentiality.
Nice-to-Have- Prior experience as an executive assistant, personal assistant, or in an administrative role
- Event coordination experience (offsites, team events, client visits)
- Basic bookkeeping or familiarity with invoicing and expense tracking
- Hindi proficiency (for local vendor and office coordination)
