Overview

The Advanced Associate, Production Planner is responsible for coordinating and managing end-to-end administrative workflows that support publishing operations, with a strong focus on accuracy, compliance, and on-time delivery. This role oversees the creation, tracking, and archiving of contracts and production-related records; coordinates with internal stakeholders on schedules, deliverables, and agreed terms; and ensures that all required data and documentation are complete and properly maintained across systems. Acting as a key point of contact, the Advanced Associate, Production Planner supports smooth collaboration between project managers, authors, suppliers, and internal teams while maintaining clear communication and reliable follow-up.

About the Team

The Advanced Associate, Production Planner is part of the International Higher Education (IHE) team. The team partners closely across functions to ensure that complex publishing and production workflows are executed smoothly, accurately, and at scale.

The IHE team's mission is to work alongside educators and institutions to deliver highquality, globally relevant learning products and services. As part of this team, the Advanced Associate, Production Planner plays a key role in enabling operational excellencesupporting production planning, data integrity, and stakeholder coordination that help bring worldclass educational resources to market, both now and in the future.

Key Responsibilities



  • Create, send, track, and archive author and supplier contracts; act as a primary contact for contract-related queries and documentation.
  • Coordinate with portfolio, content, production and other key stakeholders on deadlines, agreed terms, and royalties; liaise with legal support when required.
  • Set up and maintain royalty deals and supplier records, including collecting personal data forms, uploading signed contracts, and verifying ISBN alignment.


* Create and manage product and metadata records (e.g., ISBNs, formats, pricing, product families, and marketing copy).



  • Support ERP and finance workflows, including profile maintenance, invoice and payment processing, purchase orders, and approval flows.
  • Onboard suppliers and manage compliance documentation, independently identifying and resolving issues while safeguarding confidential data.


Required Qualifications and Skills



  • Experience in production coordination, contracts administration, operations, or a similar administrative/production planning role.
  • Strong proficiency with enterprise systems and workflows (e.g., ERP, product data hubs, contract management, and esignature tools).
  • High attention to detail and data accuracy, particularly in managing metadata, contracts, and financial records.
  • Solid organizational and timemanagement skills, with the ability to manage multiple tasks and deadlines across systems.
  • Clear written and verbal communication skills for working with authors, suppliers, and crossfunctional teams.
  • Familiarity with publishing, royalties, ISBNs, or comparable content/product lifecycle processes.
  • Commitment to accuracy, accountability, and high standards in operational execution.
  • Collaborative mindset, valuing teamwork, shared ownership, and constructive communication across functions.
  • Respect for authors, suppliers, and colleagues through professionalism, responsiveness, and integrity.
