Urban Company started out as UrbanClap in Nov 2014, when its founders, Abhiraj, Raghav and Varun realized that the home services industry was predominantly unorganized, fragmented and offline. Customers found it difficult to avail quality services in a convenient manner, and service professionals were struggling to make ends meet, having to rely upon several middlemen, contractors, and local aggregators. The founders felt that the industry was ripe for disruption, and launched Urban Company, with three key principles in mind-

Role Overview
The Administrative Assistant will provide comprehensive administrative and operational support to the leadership team. The role involves managing travel coordination, documentation, office logistics, inter-departmental coordination, and leadership support to ensure seamless day-to-day functioning of the Leadership Office.
Key Responsibilities
1) Travel Desk & Logistics Coordination
- Manage end-to-end travel coordination including flight/train ticket bookings, boarding passes, hotel reservations, cab arrangements, and itinerary planning for the leadership team.
- Coordinate with travel vendors and ensure timely confirmations and cost optimization
- Maintain travel records, trackers, and supporting documentation
2) Leadership & Executive Support
- Provide day-to-day administrative assistance to the leadership team and the Executive Assistant.
- Coordinate meetings, manage schedules, and support follow-ups on action items.
- Handle routine communication and correspondence on behalf of the leadership office
3) Documentation & Correspondence
- Manage document filing, record maintenance, and correspondence handling.
- Draft professional emails, letters, and internal communication as required.
- Ensure systematic organization of physical and digital records.
4) Events & Leadership Engagement Support
- Provide support for leadership visits, townhalls, off-sites, and internal/external events.
- Coordinate logistics, vendors, and stakeholders for smooth execution of events.
5) Office Administration & Vendor Coordination
- Manage office logistics, vendor coordination, and procurement support as required.
- Coordinate with vendors for office supplies, services, and maintenance.
- Support procurement processes in line with organizational policies.
6) Cross-Functional Coordination
- Liaise with internal departments such as HR, Finance, IT, and Admin for leadership-related requirements.
- Ensure timely processing of invoices, reimbursements, and approvals.
- Track requests and ensure closure within defined timelines.
7) Administrative Operations
- Handle day-to-day administrative tasks including documentation, filing, record management, and MIS support.
- Maintain trackers, reports, and dashboards for leadership office requirements.
Technical & Functional Skills
- Strong proficiency in MS Office (Excel, PowerPoint, Word, Outlook)
- Ability to manage multiple tasks and priorities efficiently in a fast-paced environment.
- Good documentation, reporting, and coordination skills.

Qualification & Experience
- Graduate / Postgraduate in any discipline.
- 12 years of experience in administrative support, executive support, or similar roles.
- Prior exposure to working with senior stakeholders will be an added advantage.
