Role Overview

Own day-to-day office administration and ensure smooth workplace operations by managing vendors, procurement, office facilities, basic IT coordination, and compliance support. Drive efficient administrative processes while maintaining a productive and well-organized office environment.

Key Responsibilities

  • Manage day-to-day office administration and ensure seamless office operations.
  • Coordinate with vendors for office supplies, pantry, housekeeping, maintenance, security, and facility management.
  • Handle procurement of office materials, maintain inventory, and ensure timely replenishment.
  • Build and manage relationships with local vendors while negotiating pricing and service quality.
  • Coordinate with internal teams and external vendors to resolve basic IT and infrastructure-related issues.
  • Track office assets, utility services, maintenance schedules, and recurring administrative requirements.
  • Maintain records for invoices, vendor contracts, payments, procurement, and administrative documentation.
  • Support statutory and internal compliance activities by maintaining required documentation and coordinating follow-ups.
  • Assist employees with day-to-day administrative requests and ensure a positive workplace experience.
  • Identify opportunities to improve office processes, vendor management, and operational efficiency.

Key Performance Indicators (KPIs)

  • Office Operations: Ensure uninterrupted day-to-day office functioning with minimal operational issues.
  • Vendor Management: Timely coordination, service quality, and cost-effective procurement.
  • Procurement: Ensure timely availability of office supplies with optimized inventory levels.
  • Compliance: Accurate maintenance of administrative records and timely completion of documentation.
  • IT & Facility Support: Prompt resolution of basic infrastructure and facility-related issues.
  • Cost Optimization: Monitor administrative expenses and identify opportunities for operational savings.
  • Process Efficiency: Maintain organized documentation and improve administrative workflows.

Must-Have Qualifications

  • 2–5 years of experience in Administration, Office Management, or Operations.
  • Strong knowledge of the local Bengaluru market and proficiency in the local language.
  • Proven experience in vendor management, procurement, and office administration.
  • Experience coordinating basic IT support, facility management, and compliance activities.
  • Strong communication, negotiation, and stakeholder management skills.
  • Ability to manage multiple priorities in a fast-paced work environment.
  • Proficiency in Microsoft Excel, Google Sheets, and other office productivity tools.

Nice-to-Have

  • Experience working in a startup or high-growth organization.
  • Exposure to office infrastructure setup and facilities management.
  • Familiarity with procurement planning, inventory management, and vendor negotiations.
  • Experience supporting HR or Finance teams with administrative coordination.
