Job Summary:

We are seeking professional and customer-centric Admin Executive - Facilities to provide exceptional experience for NetScout employees, clients, visitors, and staff.

The candidate has excellent communication and multitasking skills, a positive attitude, and a strong work ethic.

This position reports to Director – Facilities based out of US office.

Roles and Responsibilities:

Site Leader support:

  • Support site leader in various initiatives, studies of different aspects of data and provide reports.
  • Organize events / programs directed by Site Leader during any senior leadership visits.
  • Performing any other task job given by the management occasionally or daily basis.
  • Support in quarterly all hands and engagement celebrations

Human Resources:

  • Coordinate with Talent Acquisition team for having Face to Face interviews
  • Coordinate for access badges, ID card, welcome kits, and first-day arrangements and new joiners and existing employees
  • Assist in welcoming and onboarding new employees.
  • Assist HR with reports on tracking of employees attendance and absences
  • HR Visitor management and help in booking of air / train tickets and hotel reservations
  • Assist HR in organizing sessions and programs
  • Support HR for employee engagement initiatives like birthdays, giftings, birthday and anniversary mailers, supporting to gather feedback on various programs and initaitives etc.

Finance Team:

  • Assist with the preparation and filing of financial documents, including invoices, receipts, purchase orders, and financial statements and periodic audits.
  • Ensure all documents are properly stored and accessible for auditing purposes.
  • Maintain accurate and organized records of financial transactions, client interactions, and meetings.
  • Coordinate with vendors, clients, and internal teams for the timely payment of bills, invoices, or reimbursements.
  • Handling of forex for people who travel

Facility Management

  • Greeting and welcoming guests/clients and providing them with a positive first impression of the organization and providing them place.
  • This role involves overseeing front office operations supporting the facility manager.
  • Support facility teams to ensure that the reception area is clean and always organized
  • Coordinate with other departments to ensure smooth operations
  • Assist with administrative tasks, such as data entry, filing, and photocopying
  • Handling courier order dispatches, entry of inward mails & disbursing to concerned department individual.
  • Monitor and order office supplies, including stationery and pantry essentials.
  • Cafeteria management – coordinating with food vendor, quality of food etc.
  • Update the NetScout websites with the facilities update and all the events
  • Handle general office correspondence, including emails, phone calls, and postal services related to facility matters.
  • Vendor management, negotiation with vendors for office supplies, events etc.
  • Coordinate with the facility team to arrange visitor seating and ensure facilities are ready for meetings and events.
  • Provide support during corporate events, including managing logistics and guest registrations
  • Be prepared to support the facility team in emergency situations (e.g., evacuations, fire drills, power failures) by ensuring smooth coordination.

Key Skills and Qualifications:

  • Bachelor's degree or equivalent (preferred).
  • Prior experience as a Front Office Executive or Receptionist is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Excellent verbal and written communication skills.
  • Proficiency in English, Hindi and Kanada is a must
  • Strong organizational and multitasking abilities.
  • Must be comfortable handling a fast-paced and dynamic work environment.
  • Professional dress code is mandatory.
