Job Description

We are seeking an Admin Executive to manage a wide range of administrative tasks, from preparing reports and managing vehicle data to overseeing daily office activities. You will be responsible for handling invoice and DSR management, updating cash and credit outstanding, and managing petty cash. This role requires a professional with good command over English and the local language, strong skills in Microsoft Office, and a proactive approach to all administrative functions.

Roles & Responsibilities:

  • Reporting & Documentation: Prepare and submit all reports to HO on time for the RT Dept. Manage invoices and DSRs (Daily Sales Reports), and prepare E-invoices to hand over to Sales Representatives.
  • Vehicle & Fuel Management: Manage vehicle data, maintain fuel records, and oversee insurance renewals. Maintain and update Petro card details.
  • HR & Onboarding Support: Complete the joining formalities for newly hired employees and maintain temporary files.
  • Financial Management: Supervise and update cash, cheque, and credit outstanding for customers. Make a list of invoices for payment to organized retailers. Manage petty cash for expenses like petrol, diesel, and parking fees. Receive cash and cheques and deposit them into the bank.
  • Inventory & Asset Management: Maintain and update the outlets list, visicooler list, and inventory status. Check morning stock and evening returns. Maintain coolers and ice packs. Summarize the monthly material inventory status.
  • General Administration: Conduct and supervise all other administrative works, such as managing business cards, ID cards, and uniforms.

Skills Required:

  • Good hands-on experience with Microsoft Office.
  • Good command over English and the local language.
  • Strong organizational and multi-tasking skills.
  • Experience with various administrative tasks, including front-office duties.

QUALIFICATION:

  • A graduate degree is preferred.
