Job Description

Role Overview

We are looking for a proactive and highly organised Admin Assistant to support senior management while managing day-to-day office administration and HR operations. This role is suited for someone who may have started their career as an Executive Assistant and has since taken on broader administrative and HR responsibilities.

The role requires strong coordination, discretion, and hands-on execution in a fast-paced, event-driven sports environment.

Key Responsibilities

Executive & Management Support

  • Provide day-to-day administrative support to senior management, including calendar management, meeting coordination, and travel planning
  • Prepare reports, presentations, MIS, and documentation as required
  • Handle sensitive and confidential information with professionalism

Office Administration

  • Manage office administration including vendors, stationery, housekeeping, facilities, and inventory
  • Coordinate logistics for matches, training schedules, events, and offsites
  • Manage travel bookings, accommodation, reimbursements, and expense coordination for the management team
  • Maintain accurate records, files, and databases (digital and physical)
  • Ensure smooth day-to-day office operations and adherence to company policies

HR Operations Support

  • Support recruitment processes including interview scheduling and candidate coordination
  • Assist with onboarding, induction, and employee documentation
  • Maintain employee records, attendance, leave data, and HR MIS
  • Coordinate payroll inputs, reimbursements, and incentives with the finance team
  • Support HR policies, SOP implementation, and employee engagement initiatives
  • Act as the first point of contact for employee queries related to HR and admin matters
  • Support performance reviews, training coordination, and basic statutory compliance (coordination level)

Required Skills & Competencies

Strong calendar management and coordination skills

  • Experience across EA, admin, and HR support functions
  • Excellent organisational and multitasking abilities
  • Clear communication and stakeholder management skills
  • Ability to operate independently in a fast-moving environment
  • Strong attention to detail and follow-through
  • Proficiency in MS Office (Excel, Word, Outlook) and basic HR tools

Qualification & Experience

Bachelor's degree in HR, Business Administration, Management, or related field

  • Prior experience as an Executive Assistant or Admin professional with HR exposure preferred
