Job Description

Admin & HR Lead

About the Trust:

The Trust is a non-governmental organisation (NGO) dedicated to providing holistic support for cancer patients. They strive to improve the lives of those affected by cancer by offering comprehensive assistance, including medical care, emotional support, and practical resources.

Summary:

A Mumbai-based non-profit organization providing holistic care, financial aid, and accommodation to cancer patients is seeking a sincere, responsible and hands-on person for an Admin and HR Lead role. This person will play an important role in ensuring that the day-to-day functioning of both offices is smooth and well coordinated, while also taking charge of key HR responsibilities within the organisation.

Responsibilities

Admin & Office

  • Keep track of office requirements, supplies, and general coordination needed for smooth operations
  • Coordinate with external vendors, service providers, building management and other office-related contacts
  • Ensure office infrastructure, internet, phones, equipment and other essentials are working properly
  • Maintain admin records, bills, agreements, renewals and related documentation
  • Support planning and coordination for internal meetings, donor visits and office requirements
  • Help put systems and processes in place so that office work is managed better and more efficiently

HR responsibilities

  • Take lead on the day-to-day HR function of the organisation
  • Coordinate hiring processes including scheduling interviews, follow-up with candidates and onboarding
  • Manage employee records, joining formalities and HR documentation
  • Track attendance, leave records and related employee information
  • Coordinate with the accounts team for payroll inputs and staff documentation where needed
  • Prepare offer letters, appointment letters, contracts and other HR documents
  • Support employee exits, handovers and closure formalities
  • Assist management in handling staff concerns, discipline and internal coordination
  • Ensure HR policies and basic compliance-related processes are followed properly
  • Bring structure, discipline and accountability to internal processes

Volunteering project

  • Take lead in managing and coordinating the trust's volunteering project
  • Help build and maintain a volunteer pipeline for the organisation
  • Coordinate with volunteers for events, activities and ongoing engagement opportunities
  • Ensure volunteers are guided properly and their involvement is meaningful and well managed
  • Work with the team to strengthen volunteer participation across the trust's work

General Skills

  • Good communication and follow-up skills

  • Practical and solution-oriented

Technical Skills

  • Prior experience in administration, HR or operations
  • Good working knowledge of MS Office / Google Workspace

Prior Experience

  • Experience in NGO sector will be an advantage, but is not compulsory

Qualifications

  • Graduate in any discipline (Mandatory)
