Job Description

Role Summary

The Accounts & Operations Executive will manage day-to-day business operations across purchasing, inventory, stock audits, product uploads, invoicing, financial documentation, and reconciliations. The role ensures accurate pricing, smooth inventory flow, GST compliance, vendor coordination, and operational efficiency across online and retail channels.

Key Responsibilities

Finance, Accounts & Compliance

  • Prepare & send GST invoices to customers
  • Maintain GST documentation, records & filing support
  • Manage Tally ledger master's for new vendors
  • Record expense vouchers & non-inventory purchase entries
  • Perform payables & receivables reconciliations
  • Maintain GST registers, purchase registers & compliance folders
  • Assist in audit preparation & finalization of financial statements

Costing & Reporting

  • Perform landed cost calculations for imported items
  • Track import duties, freight, GST & margin structures
  • Generate operational MIS, purchase reports & price change reports

Procurement & Vendor Coordination

  • Place purchase orders based on recommendation lists & demand planning
  • Create Made to Order product purchase batches upon order receipt
  • Coordinate with vendors for order confirmations, delays, pricing & QC

E-Commerce & Product Operations

  • Upload products to E-commerce platforms
  • Update product labels, selling prices & promotional tags
  • Maintain hardware price lists & track fluctuations

Inventory & Stock Management

  • Perform daily and scheduled stock keeping, pricing & reconciliations
  • Conduct physical vs system stock audits
  • Manage inventory movements
  • Track non-inventory purchases (office, accessories, consumables)

Required Skills & Competencies

  • Strong knowledge of accounting fundamentals
  • Working experience on Tally & Excel (VLOOKUP, pivot, conditional formatting)
  • Experience with Shopify and vendor platforms will be considered an added advantage
  • Understanding of GST, invoicing, reconciliation & compliance
  • Exposure to import costing, pricing strategy & B2C retail workflows
  • Ability to manage large SKU databases with accuracy
  • Excellent organization, follow-ups & documentation discipline

Preferred Experience

  • 35 years in Experience in procurement, inventory, merchandising or accounts
