Job Description

Job Context & Major Challenges:

  • ABCL, being a Core Investment Company (CIC), spans multiple businesses (NBFC, HFC, Insurance, Securities, etc.) creating a complex administrative structure.
  • The role covers service delivery across three key locations and pan-India process governance, requiring strong coordination, vendor management, and emergency response capabilities.
  • Timely compliance with statutory and municipal regulations related to facilities and labour laws is critical.
  • Challenges include managing cost without impacting service quality, responding to unforeseen breakdowns, maintaining service-level agreements, and managing vendor/legal risks effectively.

Key Responsibilities:

Capex & Opex Control

  • Prepare, manage, and monitor admin budgets for both capital and operational expenditure.
  • Identify cost-saving initiatives and ensure cost optimization without compromising on quality.
  • Analyze expenditure trends and provide timely budgetary reports.

Property & Facility Management

  • Ensure smooth functioning of offices by managing housekeeping, security, courier, pantry, stationery, etc.
  • Appoint and evaluate facility management vendors through SLAs.
  • Ensure compliance with statutory requirements for facilities including licenses and certifications.
  • Maintain AMC for equipment and infrastructure.

Mediclaim Management

  • Oversee procurement and renewal of employee Mediclaim policies.
  • Streamline online nomination and claim settlement processes.
  • Ensure timely settlements within agreed TATs.

Contractual Manpower Management

  • Ensure timely empanelment and onboarding of outsourced staff in line with labour laws.
  • Monitor vendor compliance with statutory obligations.
  • Manage contract staff exits and grievance resolution.

Travel Management

  • Ensure all bookings are made via ABG travel portal.
  • Drive vendor performance as per SLA and introduce cost-effective vendors.
  • Provide insights on travel spends and identify potential savings.

Vehicle Procurement & Management

  • Oversee procurement, insurance, claim processing, and transfers of company vehicles.
  • Negotiate pricing with manufacturers and dealers.
  • Ensure vehicle availability as per policy for new joiners.

Policy Formulation & Process Implementation

  • Review and implement administration-related SOPs, processes, and policies.
  • Ensure strict adherence to defined guidelines and zero deviations.

Team Management

  • Build and lead a high-performing admin team.
  • Provide training, career development, and maintain high employee satisfaction.
  • Optimize talent deployment and team productivity.

External:

  • Facility Management Vendors, Government & Regulatory Authorities, Insurance Providers, Travel Agencies, Car Dealers, Legal Consultants
