Purpose
The Visa Executive is responsible for managing end-to-end visa processing for corporate employees and marine/seafarers, ensuring accuracy, compliance, and timely processing.
Interrelations
- This role includes liaising with vendors/suppliers, verifying all information, and handling online visa processes directly when required.
Formal authorities
- To approve and submit visa applications directly to embassies or online portals.
- To liaise with vendors and approve standard invoices within assigned limits.
- To coordinate with internal departments and shipping companies on visa-related matters.
- Escalation authority to senior management in case of urgent or complex visa issues.
Main Responsibilities And Tasks
- Handle complete visa applications for corporate staff and marine/seafarers (C1D, Schengen, UK, GCC, etc.).
- Liaise with vendors/suppliers, providing all required information to process visas efficiently.
- Double-check all documents, forms, and details for accuracy before submission.
- Directly process online visas when applicable instead of passing them to suppliers.
- Verify costing and invoices from vendors to ensure correctness and prevent discrepancies.
- Coordinate with HR, travel teams, shipping companies, and employees/crew regarding visa requirements.
- Ensure compliance with immigration rules, marine regulations, and corporate travel policies.
- Maintain accurate visa records, trackers, and MIS reports.
- Support urgent travel requests, last-minute crew changes, and escalations.
- Provide guidance and support to junior team members.
Others
- Carry out any other instructions as and when assigned by superior (ad-hoc issues).

Mandatory Requirement
- 5+ years of experience in corporate and/or marine visa processing.
- Graduate
Additional preferences
- Strong vendor management, documentation, and verification skills.
- Knowledge of global visa rules, embassy procedures, and marine regulations.
- Ability to manage multiple visa processes, including high-volume and urgent cases, accurately and within tight deadlines.
- Excellent communication, coordination, and analytical skills.
