Job Description
- Permanent Work from Home (WFH) position.
- Working Days: Monday to Friday, Weekly Off: Saturday & Sunday
- Working Hours: India: 8:30 PM to 4:30 AM; Chicago: 10:00 AM to 6:00 PM.
- This role is for a Virtual Business Operations Manager to remotely coordinate day-to-day administrative and operational activities across three distinct businesses: a restaurant (Ten 21), a chemical business, and a wholesale import/export operation. The goal is to relieve the owner from daily operational follow-up, allowing them to focus on strategic growth, sales, purchasing, and financial planning. The Operations Manager will serve as the central point of contact for all routine follow-up, reporting, and administrative control across these businesses.
- Take ownership of daily follow-up with restaurant staff and managers, including staff scheduling, attendance, time-clock issues, and training coordination.
- Ensure employees understand their responsibilities and follow up when duties are not completed.
- Prepare daily sales and operational reports, track open issues until resolved, and coordinate between employees, managers, vendors, and the owner.
- Identify problems before they escalate and escalate only matters requiring the owner's decision.
- For Ten 21 Restaurant: Manage staff schedules and attendance, review Toast sales reports, monitor online orders via DoorDash and Uber Eats, prepare daily summaries, coordinate shift changes, review opening/closing checklists, track vendor invoices and maintenance, monitor customer complaints and reviews, and prepare a weekly management report.
- For Chemical Business: Coordinate customer orders and quotations, communicate with suppliers on pricing and delivery, maintain purchase and sales orders, track inventory and reorders, follow up on payments, coordinate shipping, and maintain customer/supplier records and regular reports.
- For Wholesale Import & Export: Coordinate purchase orders with overseas suppliers, track containers and shipments, maintain shipping documents (commercial invoices, packing lists, bills of lading), coordinate with freight forwarders and customs brokers, track customs clearance and duties, maintain organized digital documentation, track payments and expenses, assist with inventory and landed-cost tracking, and prepare weekly status reports.
- Provide a consolidated daily report covering all businesses, including sales/orders, payments, problems, and actions needed.
- Prepare a weekly management report summarizing sales, payroll, outstanding payments, upcoming deadlines, inventory needs, shipping matters, staffing issues, major problems, and items requiring owner approval.
- Manage and coordinate all staff groups including restaurant employees, virtual assistants, marketing staff, administrative staff, accounting support, sales/customer service, and logistics staff.
- Maintain clear responsibility lists, assign tasks with deadlines, check task completion, follow up on incomplete/delayed work, coordinate inter-department communication, monitor remote staff, check daily/weekly reports, track recurring tasks, coordinate training, identify performance issues, escalate serious matters, and provide concise owner reports.
Must-Have
- Previous experience in restaurant operations, business administration, or operations management.
- Strong Excel and reporting skills.
- Experience with QuickBooks or similar accounting systems.
- Experience coordinating suppliers, customers, and vendors.
- Excellent written and spoken English.
- Strong follow-up and organizational skills.
- Available during U.S. business hours.
- Comfortable communicating with employees and vendors by phone, email, and messaging.
- Able to handle confidential business and financial information.
- Experience with POS systems such as Toast.
- Knowledge of import/export documentation and shipping.
