About the Opportunity

Offshore Minds is a distinguished firm dedicated to providing world-class financial analysis and accounting support within the real estate sector. We partner with a diverse clientele of private equity investors, developers, and fund managers across the U.S. and Europe.

We are hiring a skilled Virtual Assistant with strong Accounts Knowledge to support our U.S.-based real estate and construction clients. This role requires a professional who is confident managing client communication, understands the construction lifecycle, and can deliver accurate, timely accounting outputs within specialized ERP environments. The ideal candidate is a proactive problem-solver who can bridge the gap between project operations and financial reporting.

Key Responsibilities
  • ERP & Data Management: Maintain accurate records within specialized Real Estate/Construction ERP software and QuickBooks.
  • Accounts Payable & Receivable: Process invoices, verify project coding, manage vendor payments, and track outstanding receivables to ensure healthy cash flow.
  • Reconciliations: Perform bank, credit card, and loan reconciliations, ensuring all construction-related expenses are captured.
  • Vendor & Subcontractor Management: Act as the primary point of contact for vendors; manage W-9s, COIs, lien waivers, and payment inquiries.
  • Financial Reporting: Prepare monthly/quarterly reports including P&L, Balance Sheet, and Budget vs. Actual for specific properties or projects.
  • Construction Support: Assist with progress billings, job costing, and maintaining updated cash flow forecasts for active developments.
  • Communication: Maintain professional, high-level correspondence with U.S. stakeholders and vendors.

Requirements
  • Language Proficiency: Strong command of English (US Preferred) with excellent written and verbal communication skills.
  • Industry Knowledge: Proven experience or strong knowledge in Real Estate and Construction workflows (e.g., retainage, CIP, property management).
  • Accounting Foundation: 35+ years of experience in bookkeeping, AP/AR support, and general ledger maintenance.
  • Technical Skills: Hands-on experience with ERP software and QuickBooks (Online/Desktop).
  • Education: Bachelor's degree in Accounting, Finance, or a related field.
  • Soft Skills: High attention to detail, ability to manage multiple client files independently, and strong organizational skills.
