About the Role:We're looking for a highly organized and proactive Virtual Assistant to help manage daily business operations, coordinate with clients, and keep workflows running smoothly. The ideal candidate is detail-oriented, fluent in English (spoken and written), and experienced in using modern business tools such as CRMs, Google Workspace, and calendar management systems.
Key Responsibilities:- Workflow & Task Management
- Maintain and organize daily business operations.
- Track project progress, deadlines, and deliverables.
- Coordinate between teams or vendors as needed.
- Client Communication & Support
- Handle basic client inquiries via email or chat in a professional manner.
- Schedule and confirm client meetings or calls.
- Maintain a positive and responsive client experience.
- Calendar & Scheduling
- Manage calendars for the leadership team.
- Schedule meetings, appointments, and reminders across time zones.
- Proactively anticipate scheduling conflicts and resolve them.
- Documentation & Data Handling
- Maintain organized records in CRMs and shared drives.
- Prepare summaries, follow-up notes, and task lists after client meetings.
- Assist with light research or data entry tasks when required.
Required Skills & Qualifications:- Excellent command of English both verbal and written.
- Strong organizational and time-management skills.
- Proficiency with tools such as:
- Google Suite (Docs, Sheets, Calendar, Drive)
- CRMs (HubSpot, Zoho, or similar)
- Communication platforms (Slack, Zoom, WhatsApp Business, etc.)
- Ability to manage multiple tasks and clients simultaneously.
- High attention to detail and professional communication etiquette.
- Comfortable working independently with minimal supervision.
Preferred Qualifications:- Prior experience as a Virtual Assistant, Operations Coordinator, or Client Success Assistant.
- Familiarity with productivity tools such as Notion, Trello, or Asana.
- Experience in managing client communications across multiple time zones.
