Job Description

About the Role:

We're looking for a highly organized and proactive Virtual Assistant to help manage daily business operations, coordinate with clients, and keep workflows running smoothly. The ideal candidate is detail-oriented, fluent in English (spoken and written), and experienced in using modern business tools such as CRMs, Google Workspace, and calendar management systems.

Key Responsibilities:

  • Workflow & Task Management
  • Maintain and organize daily business operations.
  • Track project progress, deadlines, and deliverables.
  • Coordinate between teams or vendors as needed.

  • Client Communication & Support
  • Handle basic client inquiries via email or chat in a professional manner.
  • Schedule and confirm client meetings or calls.
  • Maintain a positive and responsive client experience.

  • Calendar & Scheduling
  • Manage calendars for the leadership team.
  • Schedule meetings, appointments, and reminders across time zones.
  • Proactively anticipate scheduling conflicts and resolve them.

  • Documentation & Data Handling
  • Maintain organized records in CRMs and shared drives.
  • Prepare summaries, follow-up notes, and task lists after client meetings.
  • Assist with light research or data entry tasks when required.

Required Skills & Qualifications:

  • Excellent command of English both verbal and written.
  • Strong organizational and time-management skills.
  • Proficiency with tools such as:
  • Google Suite (Docs, Sheets, Calendar, Drive)
  • CRMs (HubSpot, Zoho, or similar)
  • Communication platforms (Slack, Zoom, WhatsApp Business, etc.)
  • Ability to manage multiple tasks and clients simultaneously.
  • High attention to detail and professional communication etiquette.
  • Comfortable working independently with minimal supervision.

Preferred Qualifications:

  • Prior experience as a Virtual Assistant, Operations Coordinator, or Client Success Assistant.
  • Familiarity with productivity tools such as Notion, Trello, or Asana.
  • Experience in managing client communications across multiple time zones.
