Job Description

Key Responsibilities:

Travel Coordination

  • Co-ordinate travel bookings for clients and event participants
  • Prepare detailed travel itineraries and ensure all bookings align with event schedules and budgets.
  • Enter all confirmed travel arrangements into the event management software to ensure accurate and up-to-date event data that will then be communicated to attendees.
  • Track travel expenses and assist with reconciliation and reporting.
  • Run regular reports to check the data for accuracy and identify errors and update where necessary.

Administrative Support

  • Provide day-to-day administrative assistance to the event management team, including document preparation, data entry, and file management.
  • Assist in preparing and formatting presentations, reports, and proposals.
  • Help maintain efficient digital filing systems and shared drives.

Team & Client Support

  • Communicate professionally with clients, suppliers, and internal team members to provide timely updates and support.
  • Assist with follow-ups, confirmations, and post-event administration.
  • Support the coordination of logistics and timelines for upcoming events.
  • Contribute to a positive, collaborative, and solutions-focused team environment.

Skills & Experience

  • Previous experience as a Virtual Assistant, Administrative Assistant, or in an Event Management support role (preferred).
  • Strong organisational and time management skills with excellent attention to detail.
  • Experience managing travel bookings and working with itineraries.
  • Proficient in Microsoft Office and/or Google Workspace, with strong Excel and document formatting skills.
  • Experience with Events Air desired but not required training will be provided.
  • Excellent written and verbal communication skills.
  • Ability to work independently while supporting multiple team members.
  • A proactive, flexible, and professional approach to all tasks.

Desirable Attributes

  • Prior experience in the events, travel, or hospitality industry.
  • Knowledge of event management systems or CRM platforms.
  • Comfortable working across different time zones and managing priorities.
