About the role:

We're looking for a proactive and detail-oriented Vendor Management Executive who can manage and strengthen relationships with vendors, freelancers, and influencers in a fast-paced agency environment.

If you understand how agencies work tight timelines, multiple stakeholders, and constant juggle this role is for you.

What you'll be doing:

Vendor Coordination & Negotiation

  • Act as the primary point of contact for vendors, freelancers, and influencers
  • Finalize pricing, scope, and timelines for projects
  • Negotiate commercials and payment terms aligned with company policies

Cost Optimization

  • Identify and onboard cost-effective vendors
  • Drive cost efficiency without compromising quality
  • Benchmark pricing to stay competitive

Relationship Management

  • Build and maintain strong vendor relationships
  • Create a reliable network for repeat and high-quality delivery

Operational Support

  • Manage vendor database, contracts, and documentation
  • Ensure vendor readiness aligned with project timelines
  • Coordinate closely with creative, production, and accounts teams

Reporting & Communication

  • Track vendor performance and cost efficiencies
  • Flag risks, delays, or cost escalations proactively

What we're looking for:

  • Agency experience is a must (advertising, digital, or production house)
  • 2+ years in vendor management / procurement / similar role
  • Strong negotiation and communication skills
  • Hands-on with Excel, Word, and Zoho Procurement tools
  • Ability to multitask and thrive in a fast-paced environment
