Job Description

Key Responsibilities

Helpdesk Management

  • Operate a 24/7 transport helpdesk to handle employee transport queries and service requests
  • Log and maintain accurate records of transport complaints, requests, and resolutions
  • Maintain real-time data on vehicle movement, pickup/drop schedules, and transport operations
  • Prepare daily pickup and drop lists for employees
  • Maintain updated transport contact directories and vendor information
  • Generate daily, weekly, and monthly reports on transport operations and SLA performance
  • Ensure adherence to defined SLA and KPI standards

Transport Coordination & Operations

  • Support day-to-day transport operations under shift in-charge supervision
  • Monitor vehicle attendance, driver availability, and vendor performance
  • Verify transport logs, pick-up slips, and vehicle tracking sheets
  • Conduct routine vehicle inspections using standard checklists
  • Ensure timely arrival and departure of transport vehicles
  • Escalate operational issues and incidents in real time and maintain shift log documentation
  • Coordinate ad hoc transport requests and ensure timely fulfillment

Tracking & Reporting

  • Track all vehicles in real time using transport management tools
  • Maintain accurate pickup/drop status updates and employee movement records
  • Generate reports for no-show employees, vehicle utilization, and transport efficiency
  • Coordinate with vendor tracking teams to ensure data accuracy
  • Maintain proper handover/takeover documentation between shifts

Route Management (Router Responsibilities)

  • Review and optimize transport routes for cost efficiency and operational effectiveness
  • Implement route changes based on demand and operational requirements
  • Maintain updated route rosters and employee transport schedules
  • Handle ad hoc route changes and special transport requests
  • Ensure use of transport management tools such as Move Insync / Route Matic

Compliance & Service Delivery

  • Ensure transport operations follow defined safety and operational guidelines
  • Maintain discipline and service quality across drivers and transport vendors
  • Ensure smooth communication flow between helpdesk, coordinators, and routing teams
  • Support continuous improvement in transport efficiency and cost optimization
