JOB SUMMARY:
We are seeking a detail-oriented and proactive Assistant to support end-to-end tendering activities. The role involves identifying tender opportunities, preparing and submitting bids, coordinating with internal teams, and maintaining accurate documentation. The candidate will also assist in post-award processes such as invoicing, payment follow-ups, and project closure.
KEY RESPONSIBILITIES:
1. Tender Identification & Evaluation
Identify and track new tenders from various portals and sources
Review tender requirements and support Go / No-Go decision process
Assist in preparing tender support notes and related documentation
Provide support to the pricing team with required data and inputs
2. Bid Preparation & Submission
· Prepare technical and commercial bid documents
Compile, verify, and organize all required tender documents
Arrange tender fees, EMD, and complete related formalities
Submit bids through portals such as GeM and other e-tendering platforms
Ensure all submissions are accurate and completed within deadlines
3. Coordination & Communication
Coordinate during bid evaluation and handle clarifications with clients
· Support reverse auction participation where applicable
4. Post-Award & Documentation
Assist in processing award notifications and preparing order documentation
Support project coordination and maintain internal documentation
Perform basic ERP entries and update task progress
Assist with bank guarantees, agreements, and insurance documentation
Prepare invoices and submit them to clients or portals
Maintain reports, records, and proper documentation systems
Support HR clearance documentation as required
Track payments and follow up with clients for receivables
Assist in work completion documentation and project closure
5. Administrative & System Support
Maintain organized filing systems (soft and hard copies)
Perform basic ERP entries and track task progress
Support vendor registration and document updates
Coordinate for Digital Signature Certificates (DSC) and portal access
Ensure confidentiality of tender and pricing data
Assist accounts team with billing documents and payment tracking
Coordinate with site/project teams for required inputs
Stay updated with latest tender rules and government policies
EDUCATIONAL QUALIFICATION:
Bachelor's degree, or a related field
Additional certification in tendering, procurement, or contract management is an advantage
TECHNICAL SKILLS:
Basic understanding of tendering processes and documentation
Familiarity with Government e-Marketplace (GeM) and other e-tendering portals
Proficiency in MS Office (Excel, Word, PowerPoint)
Basic knowledge of ERP systems
Understanding of commercial terms, pricing, and compliance requirements
Knowledge of bank guarantees, EMD, and contractual documentation is preferred
SOFT SKILLS:
Strong attention to detail and accuracy
Good organizational and time management skills
Effective communication and coordination abilities
Ability to handle multiple tasks and meet tight deadlines
Problem-solving mindset and willingness to learn
Ability to maintain confidentiality of sensitive data
EXPERIENCE
0–2 years of experience in tendering, procurement, or administrative roles
Freshers with relevant internship or exposure to tender processes may also apply
