Designation - Technical Assistant
Job Purpose
The Technical Assistant provides essential support to the technical team in managing vessel operations by assisting with data handling, documentation, and coordination tasks. As an entry-level role, it ensures the smooth flow of technical information, maintenance records, and compliance documents, forming the backbone of effective planning and reporting. By maintaining accurate records, supporting follow-ups, and learning key operational processes, the Technical Assistant contributes to the overall reliability, safety, and compliance of the fleet. This role serves as a foundational position for building technical knowledge and growing into broader responsibilities within ship management.
Roles & Responsibilities
- Administrative & Documentation Support
- Assist in organizing and updating vessel technical records, reports, certificates, and equipment manuals.
- Maintain filing systems for maintenance reports, inspection records, and survey certificates—both physical and digital.
- Administer the weekly operational and daily technical meetings and updating the follow-up trackers with due dates.
- Support the preparation of technical circulars and communication drafts for review and dispatch
Coordination & Follow-Up
- Follow up with vessels, stores, or service providers for routine status updates as instructed by Technical Manager or Superintendent.
- Help track ongoing technical tasks such as PMS jobs, defect rectifications, or spares deliveries.
- Coordinate meeting schedules, inspection reminders, and internal communication within the technical department.
- Support planning tasks by collecting and organizing data for dry docking, audits, or maintenance planning
System & Data Entry Tasks
- Perform data entry and updates in Fleet Management Systems (e.g., PMS, CMMS) under guidance.
- Assist/guide vessels in updating job completion entries, defect status, or survey records in the system.
- Maintain Excel-based trackers for pending jobs, follow-ups, and compliance deadlines.
- Support the generation of performance or compliance summaries from noon reports or technical logs
Learning & Development
- Participate in internal training sessions to build familiarity with ship systems, planned maintenance procedures, and regulatory terms.
- Learn technical terminology and classification requirements through daily exposure and support tasks.
- Assist senior team members during inspections or audits, gaining on-the-job experience.
- Develop foundational knowledge of vessel operations, maintenance cycles, and fleet support activities
Qualifications & Experience
Education -
- Diploma or Bachelor's Degree in Marine Engineering, Mechanical Engineering, Naval Architecture, or any related technical discipline.
- Fresh graduates or final-year students with relevant internship experience will be considered
Experience -
- 0 to 2 years of experience in a ship management office, shipyard, or maritime technical support environment.
- Exposure through internships, cadetships, or training programs in technical operations or planned maintenance is beneficial.
- Familiarity with marine documentation, vessel terminology, or basic technical workflows is preferred but not mandatory
Technical Skills and Professional Knowledge -
Technical Knowledge
- Basic understanding of shipboard systems and marine engineering concepts.
- Familiarity with vessel maintenance terms and planned maintenance structure (PMS).
- Awareness of common technical documentation such as equipment manuals, defect logs, and survey records.
- Willingness to learn industry regulations (Class, Flag, SOLAS, MARPOL) through on-the-job exposure.
Systems & Data Handling
- Basic proficiency in Microsoft Excel and Word for maintaining trackers and reports.
- Ability to perform data entry and updates in technical systems like CMMS, PMS, or ERP (training can be provided).
- Understanding of file management, both physical and digital, for technical records and certificates.
- Capable of supporting document collation for audits, inspections, or dry dock preparations
Communication & Coordination -
- Ability to coordinate routine follow-ups and status updates under guidance.
- Clear and professional communication skills to interact with internal departments and vessel staff.
- Good organizational skills with attention to detail and accuracy.
- Proactive mindset with a willingness to support multiple tasks and learn technical workflows.
