We are the captive Shared Service Provider for DHL Global Forwarding and DHL Freight (DGFF). We are an organization of more than 4,800 colleagues complemented by approximately 500 virtual FTE (i.e., bots applied in process automation). Our colleagues are based across six service delivery centers in Mumbai, Chennai, Chengdu, Manila, Bogota & Budapest. In this role, you will have the opportunity to lead a team of Finance professionals, and be responsible for process, stakeholder and employee management. Execute Billing plans and processes as invoice generation to achieve accuracy and effective delivery of Invoicing information to countries in line with internal and external policies and standards, regulations and compliance requirements.

Key Responsibilities:

  • Execute Billing plans and processes to achieve accurate and effective delivery of billing information to customers
  • Supervise a team of professionals and ensure the team meets critical goals and deadlines. In accordance with company policies and procedures.
  • Oversee delivery and quality of Billing support services, operations and systems
  • Ensure delivery of service to required standards, policies, targets and schedule such as SLA and internal and external customer expectations
  • Monitor invoicing activities and processes to ensure that invoices are issued in conformance to negotiated terms and current legislation
  • Review and resolve issues related to bill discrepancies such as incorrect rates, charges, etc., or direct queries to billing inquiry team
  • Execute processes and ensure compliance to processes to provide timely billing and maintenance of customer accounts
  • Analyze the invoice accounting controls to determine daily financial impact
  • Train and ensure effective usage of billing tools, systems and technology to maximize effectiveness and accuracy of billing operations
  • Resolve issues outside of normal process such as difficult customers, bad debt issues, special rate calculations, etc.
  • Resolve customer issues escalated by their team such as billing disputes, overdue payments, need for treatment plans, problems with data quality, etc. Assist team as well to resolve issues, and cultivate problem solving mindset
  • Identify opportunities and recommend improvements in existing processes, systems and methods for enhanced effectiveness and efficiency
  • Recommend and coordinate needed changes based on process analysis.
  • Work closely with colleagues in the business to identify solutions, best practices and KPIs to improve existing processes.
  • Provide inputs towards staff scheduling to include work assignments/rotations, employee training, employee vacations, employee breaks, overtime assignment, back-up for absent employees, and shift rotations.
  • Ownership of IC process management, month-end closing, monthly & quarterly reporting, balance sheet reconciliations, journal entries preparation & review, CREST reconciliation, along with multiple analysis and review and reporting.
  • Contribute ideas and actions towards continuous process improvement.
  • Drive process standardization, automation, and optimization initiatives to improve the quality and speed of IC operations.
  • Ensure adherence to compliance and internal & external controls.
  • Support audits and internal control testing to ensure compliance.
  • Drive Employee Engagement and Customer Satisfaction Processes.
  • To have a periodic meeting with the team members to discuss on the productivity and feedback.
  • Monitor Key deliverables for team on Continuous Basis.
  • Schedules work for optimum efficiency and productivity.
  • Provides day-to-day work direction.
  • Development of the team members

Stakeholders management:

  • Understand customer and key stakeholders interests and concerns and advise direct reports, customers and key stakeholders
  • Build strong, trusting relationships with DHL managers
  • Extensive contact with other specialist departments
  • Cooperate with and coordinate 3rd parties e.g. external service providers

Management responsibility:

  • Supervise professional level employees (typically entry or experienced level) and may also supervise some non professional employees

Required Skills/Abilities:

  • A degree in accounting, financial management will be an advantage.
  • Minimum 5 -7 years experience in Financial Accounting.
  • Logistics or Back Office experience.
  • Good Communication (verbal and written) and interpersonal skills.
  • Good People management Skills.
  • Self learning and development.
  • Computer knowledge (word, excel, power point)
  • Understanding of accounting concepts and principles
  • Possess good analytical & problem-solving skills
  • Target oriented with strong focus
  • Flexible with work shift
  • High level of customer centricity
