Overview

The Workplace team are accountable for handling the end-to-end property lifecycle for bp's corporate office portfolio. Operating in 50 plus countries and over 100 diverse locations the team are central to the transformation of the workplace experience and the associated services. The Workplace vision is to build and curate safe workplaces that our people love and that help we believe, work, and connect together, wherever we are in the world.

The Workplace Services team are responsible for handling all services in relation to the operations delivered within bp's Workplaces. The Workplace Services team comprises of regional teams, under global leadership, who, in turn work with our Vested service partners to deliver day to day workplace services. This role will work directly with the Senior Partner Workplace Services AsPac but will support the whole regional team.

The role holder will support the Workplace Services AsPac team in administrative issues related but not limited to:

  • Handling and coordinating calendars, meetings, and travel arrangements.
  • Preparing and editing correspondence, presentations, reports, and other documents with high accuracy and visibility.
  • Facilitating effective communication within team and with external partners.
  • Supporting team projects and initiatives through research, data compilation, and task follow-up.
  • Assisting in the planning and execution of team events, workshops, and other activities.
  • Proactively identifying and resolving administrative issues, demonstrating initiative and skills.
  • Collaborating effectively with other administrative staff and departments to ensure seamless operations.
  • Maintaining a high level of confidentiality and discretion with sensitive information.
  • Encouraging knowledge sharing within the team by prioritising and disseminating relevant information
  • Supporting the relationship with the Vested Workplace supplier team across AsPac, collaborating closely with other bp business teams and attending operational governance meetings as the need arises
  • Ensuring all bp governance related requirements are detailed, in relation to Workplace Services in AsPac

Essential Experience And Job Requirements

  • Proven experience in an administrative support role in multinational company.
  • Proven experience in achieving results in diverse cultures and drives an inquisitive yet respectful mindset whilst promoting innovation and continuous improvement
  • Entrepreneurial thinking, demonstrating extensive understanding of business interconnectivity and the ability to act upon this understanding
  • Outstanding stakeholder engagement skills, building sustainable networks using high levels of Emotional Intelligence
  • Respectful of diverse cultures and perspectives and promoting innovation and continuous improvement
  • Good communication skills both verbal and written, collaborative and flexible style

Desirable Criteria

  • Previous experience within a corporate real estate setting, with a diverse range of operations
  • Previous experience of working within a global outsourced setting
  • Good knowledge of managing process efficiency, data quality, systems performance and development, project & programme management and change control, in particular with respect to implementing workplace services outsourcing initiatives
  • Confident individual who takes ownership and leads by example
  • Cultural awareness and language skills specific to region
  • Entrepreneurial thinking, demonstrating extensive understanding of business interconnectivity and the ability to act upon this understanding
  • Previously worked with the Vested methodology
