Role Overview:
The role is responsible for supporting the end-to-end recruitment process through strong backend operations and coordination. This includes managing recruitment data, ensuring accuracy of records, generating reports, coordinating with stakeholders, and facilitating a smooth candidate and hiring manager experience.
Key Responsibilities:
1. Recruitment Operations Support
- Maintain and update candidate data and job requisitions on Darwinbox
- Coordinate with TA partners and hiring managers to track hiring status and follow-up actions.
- Support pre-screening activities and interview scheduling in coordination with panel members and candidates.
- Prepare and circulate interview schedules, feedback forms, and candidate evaluation sheets.
2. Offer & Onboarding Coordination
- Collate and verify candidate documents for offer processing.
- Create offer letters, coordinate for approvals, and ensure timely issuance.
- Liaise with onboarding team for onboarding formalities and joining documentation.
- Track candidate joining status and maintain an updated candidate tracker.
3. Data Management & Reporting
- Maintain recruitment dashboards, trackers, and MIS for ongoing and closed positions.
- Generate weekly/monthly hiring reports (e.g., TAT, source mix, offer-to-join ratio, etc.).
- Ensure data integrity across all recruitment systems and documentation.
- Support recruitment analytics and audit requirements.
4. Vendor & Stakeholder Management
- Coordinate with recruitment agencies for profile submissions and invoice processing.
- Track performance metrics of external partners and ensure compliance with SLAs.
- Assist the TA team with coordination between internal departments for interview logistics and hiring approvals. Booking of travel and accommodation
5. Process Compliance & Improvement
- Ensure adherence to recruitment policies and documentation standards.
- Identify opportunities for process improvement and automation in recruitment operations.
- Support employer branding or campus recruitment activities as required.
Key Skills & Competencies
- Strong attention to detail and accuracy in data handling.
- Excellent coordination and follow-up skills.
- Proficiency in MS Excel, Google Sheets, and HRMS/ATS systems.
- Good communication and stakeholder management skills.
- Ability to manage multiple priorities and meet tight deadlines.
Qualifications
- Bachelor's degree in HR / Business Administration / related field. MBA HR - preferred
- 13 years of experience in Recruitment or HR Operations (preferably in a shared services or corporate setup).
- Familiarity with HR systems such as Darwinbox, , is an advantage.
