Role Overview

The Student Outreach Executive is responsible for engaging prospective students, understanding their basic academic interests, qualifying their profiles, and scheduling counselling sessions with certified conuselors. This role acts as the first and most important point of contact in the student journey.

The position includes a structured On-the-Job Training (OJT) period, after which employment is confirmed upon successful completion.

Key Responsibilities

1. Student Outreach & Engagement

  • Make outbound and inbound calls to prospective students using CRM-assigned leads
  • Communicate clearly about services, counselling process, timelines, and next steps
  • Engage students via calls, WhatsApp, and email with professional phone etiquette
  • Build trust and rapport while maintaining a student-first approach

2. Profile Understanding & Lead Qualification (Non-Advisory)

  • Collect and document essential student details:

Academic background

Course and country interest

Intended intake timeline

Readiness to proceed

  • Qualify genuine and relevant prospects based on internal criteria
  • Schedule only eligible students for counselling
  • No academic, visa, or admission counselling during OJT phase

3. Counselling Session Scheduling & Coordination

  • Schedule counselling sessions with certified counsellors based on availability
  • Share meeting details, reminders, and preparation instructions with students
  • Handle rescheduling and follow-ups to reduce no-show rates
  • Coordinate smoothly between students and counselling teams

4. CRM, Documentation & Reporting

  • Update CRM accurately after every interaction
  • Maintain clean records of call outcomes, follow-ups, and appointments
  • Track daily activity and support reporting requirements
  • Ensure data accuracy and process discipline at all times

5. Process Discipline & Compliance

  • Follow approved calling scripts, SOPs, and communication guidelines
  • Adhere to data privacy, consent, and student protection policies
  • Escalate complex queries or exceptions to supervisors
  • Maintain ethical communication and avoid misrepresentation

On-the-Job Training (OJT) & Confirmation

  • The role includes a structured OJT period designed to train the employee on:

Education counselling fundamentals

Country, course, and university overview (non-decision level)

CRM systems and documentation workflow

Process governance, ethics, and compliance

Shadowing live counselling sessions

  • Upon successful completion of the OJT period, employment will be confirmed.
  • OJT evaluation will be based on:

KPI achievement

Process adherence and CRM accuracy

Communication quality and professionalism

Key Performance Indicators (KPIs)

  • Daily outbound call productivity
  • Number of qualified students identified
  • Counselling sessions scheduled
  • Student show-up and engagement rate
  • CRM accuracy and compliance score

Eligibility & Skills

  • Graduate / Undergraduate (any discipline)
  • Strong verbal communication skills in English and regional language
  • Comfortable with outbound calling and structured follow-ups
  • Basic computer literacy and willingness to learn CRM tools
  • Ethical, disciplined, and student-centric mindset
