What this job involves:
This position reports to the Program Manager and works closely with internal vendors and key stakeholders to facilitate and support Amazon events taking place in key buildings within Amazon corporate offices with booking of specialty spaces. You will review, update, schedule, and approve event requests received from Amazon event planners while regularly interfacing with high-level stakeholders and key customers. This role contributes to JLL's business objectives by providing initial response and support related to Amazon event inquiries, demonstrating refined business writing style, delivering superior customer service through clear correspondence, and maintaining strong communication channels between onsite and remote event teams that ensure operational alignment and successful event execution.
What your day-to-day will look like:
- Review, update, schedule, and approve event requests received from Amazon event planners while regularly interfacing with high-level stakeholders
- Provide initial response and support related to Amazon event inquiries while demonstrating refined business writing style and superior customer service
- Support customers in finding alternate space if desired specialty space is unavailable while scheduling and maintaining calendar appointments
- Assign events to Event Coordinators as appropriate while processing work orders and event related trouble tickets
- Maintain strong communication channels between onsite and remote event teams while communicating closely with both teams
- Support and maintain good inter-vendor communications between Facilities, Catering, AV, Reception, Janitorial, and Engineering as requested
- Create and update documents to track metrics, clarify procedures, provide information, and organize team tasks while addressing customer concerns promptly.
Required Qualifications:
- 3+ years experience in event coordination or event administrative support
- Must be proficient with Microsoft Office including advanced competence with MS Word, MS Excel, and MS Outlook
- High level of accuracy and attention to details with positive, professional, customer-service oriented personality
- Excellent interpersonal and communication skills with exceptional written and verbal communication abilities
- Ability to interact with employees, visitors, and contractors with poise and diplomacy
- Capability to apply principles of rational systems and deal with variety of concrete variables in limited standardization situations
- Ability to set priorities and meet deadlines with attentiveness to multi-tasking and initiative to assume additional responsibilities.
Preferred Qualifications:
- Bachelor's Degree or equivalent 4 years of experience
- 3+ years experience in facilities management
- Microsoft Visio or CAD experience
- Ability to work independently with little direction and interpret instructions in written, oral, diagrammatic, or schedule form
- Excellent grammar and proofreading abilities with ability to perform basic business math including compute discount, interest, percentages, and profit/loss
- Experience creating and updating documents to track metrics and clarify procedures
- Background in maintaining professional relationships and resolving conflicts to customer satisfaction while upholding policies.
