Job Description
The Project Invoicing Specialist is responsible for accurately and efficiently managing the invoicing process within the organization. This role involves creating, reviewing, and distributing invoices to clients or customers, ensuring compliance with company policies and procedures, and resolving any billing discrepancies. The Invoicing Specialist works closely with various departments such as finance, sales, and customer service to ensure timely and accurate invoicing, while also maintaining a high level of customer satisfaction.
Responsibilities
- Generate invoices for services rendered to clients or customers.
- Review contracts, purchase orders, and other relevant documents to ensure accuracy of invoicing details.
- Verify pricing, quantities, and discounts to ensure invoices are billed correctly.
- Coordinate with project management / Commercial teams to obtain necessary information for invoicing.
- Address any billing discrepancies or issues promptly and professionally.
- Maintain accurate records of invoices, payments, and customer interactions.
- Create, maintain, and manage Customer Statement of Accounts (SOA) 8. Process invoice adjustments or credits as needed.
- Communicate with clients or customers regarding invoice inquiries or disputes.
- Collaborate with internal departments to streamline invoicing processes and improve efficiency.
- Stay updated on industry best practices and regulations related to invoicing and billing.
- Assist with month-end and year-end closing processes as required.
- Provide support to the finance team during audits or financial reviews.
Qualifications
- Bachelor's degree in accounting, finance, business administration, or related field preferred.
- Proven experience in invoicing, billing, or accounts receivable management.
- Proficiency in accounting software and Microsoft Office Suite, especially Excel.
- Strong attention to detail and accuracy in data entry.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Problem-solving skills with a proactive and customer-focused approach.
- Knowledge of billing procedures and regulations.
- Ability to work independently as well as part of a team.
- Experience with Oracle ERP systems (Enterprise Resource Planning) is a plus.
BGV:
- Employment with WSP India is subject to the successful completion of a background verification (BGV) check conducted by a third-party agency appointed by WSP India.
