Specialist - Regional Facilities
Mumbai
Role Purpose
The Specialist Regional Facilities is responsible for overseeing and managing facilities operations across multiple sites within a designated region. This role involves ensuring that all facilities are well-maintained, meet safety standards, and support the operational needs of the business. The Regional Facilities Specialist works closely with local teams, contractors, and vendors to manage maintenance schedules, office relocations, health and safety compliance, and general administrative tasks related to facilities management.
Duties And Responsibilities
Facilities Maintenance & Operations:
Oversee day-to-day facilities operations across multiple locations within the region, ensuring that all facilities are operating efficiently and effectively.
Schedule, manage, and monitor preventative and corrective maintenance for building systems (HVAC, electrical, plumbing, etc.) to ensure a safe and productive environment.
Liaise with internal teams and external contractors to coordinate repairs, maintenance, and upgrades.
Health, Safety, & Compliance
Ensure all facilities comply with local, state, and federal regulations, including health and safety standards.
Conduct regular safety inspections and audits of the facilities to ensure compliance with environmental, health, and safety regulations.
Implement and monitor safety programs and provide necessary training to employees on safe practices.
Vendor & Contractor Management
Manage relationships with third-party vendors and contractors for maintenance, cleaning, security, and other facilities services.
Oversee contract renewals, negotiate service agreements, and monitor service level agreements (SLAs) to ensure the quality and efficiency of services.
Monitor the performance of vendors and contractors to ensure compliance with agreed-upon standards and quality.
Space Planning & Office Relocations:
Coordinate office space planning, including managing seating arrangements, office layouts, and ensuring that the facilities meet the needs of the teams.
Assist with office moves, expansions, or relocations, ensuring a smooth transition with minimal disruption to business operations.
Work with internal stakeholders to optimize space utilization and ensure efficient use of office resources.
Budget Management
Assist in the development and management of the facilities budget, ensuring cost-effective practices for repairs, supplies, and services.
Monitor and report on expenditures and identify areas for cost savings while maintaining quality standards.
Sustainability Initiatives
Support sustainability initiatives related to energy efficiency, waste reduction, and eco-friendly building practices.
Track utility usage and implement strategies to reduce energy consumption and overall environmental impact.
Employee Support & Engagement
Act as a point of contact for employees regarding facilities-related issues, such as temperature, lighting, cleanliness, and general office conditions.
Address and resolve facilities-related concerns or complaints from employees in a timely manner.
Ensure that all necessary office supplies and equipment are available for employees and that common areas are properly maintained.
Reporting & Documentation
Maintain accurate records of maintenance schedules, vendor contracts, safety inspections, and other facilities-related documents.
Prepare regular reports on facilities operations, including budget updates, maintenance issues, and compliance audits.
Experience
Knowledge, Experience and Skills:
Experience in facilities management, property management, or a related field.
Experience managing multiple sites or regional facilities operations is preferred.
Knowledge of building systems (HVAC, electrical, plumbing), safety regulations, and environmental compliance.
Skills
Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.
Excellent communication and interpersonal skills, with the ability to collaborate with internal teams, vendors, and contractors.
Proficient in facilities management software and tools for scheduling, reporting, and vendor management.
Solid understanding of building maintenance, safety protocols, and regulatory compliance.
Ability to solve problems quickly and effectively, ensuring minimal disruption to business operations.
Certifications
Facilities Management Professional (FMP) or Certified Facility Manager (CFM) certifications are a plus.
OSHA certifications or similar health and safety certifications are beneficial.
