Job Title: Shipping Manager

Position Summary
We are seeking a detail-oriented and proactive Shipping Manager to lead logistics, artwork handling, inventory management, and exhibition-related operations. This role is key to ensuring the safe, timely, and professional handling of artworks both nationally and internationally. The ideal candidate brings operational excellence, strong vendor coordination skills, and a passion for supporting artists and exhibitions behind the scenes.
Key Responsibility Areas & OKR Weightage
Support long-term operational efficiency by improving shipping processes, timelines, and documentation standards.
Contribute insights on cost optimisation, vendor performance, and logistics risks to support planning and decision-making.
Strengthen compliance, insurance readiness, and risk mitigation across domestic and international shipments.
(Planned execution and coordination)
Logistics & Artwork Movement
Coordinate national and international shipments, including documentation, customs clearance, and insurance.
Liaise with transporters, courier services, customs agents, and insurers to ensure timely and secure movement.
Maintain detailed shipment records, tracking movements and updating condition reports before and after transit or exhibitions.
Accompany high-value or sensitive shipments when required.
Exhibition Support & Installations
Support planning and execution of installations and deinstallations in collaboration with artists, curators, and technical teams.
Coordinate layout requirements, lighting, mountings, transport logistics, and dismantling.
Manage fabrication or sourcing of display materials such as plinths, mounts, and frames.

Inventory & Warehouse Management
Maintain accurate, real-time inventory records in the gallery database.
Ensure artworks are correctly labeled/barcoded and stored per conservation standards.
Track all inward and outward movement of artworks, updating inventory logs and condition documentation.
Oversee warehouse/storage spaces to ensure safety, cleanliness, and accessibility.
Vendor & Material Management
Identify, onboard, and manage vendors for framing, packing, shipping, printing, and fabrication.
Negotiate rates and timelines while ensuring quality and reliability.
Track packing material consumption daily/weekly and report usage.
Procure office and gallery supplies required for smooth operations.
Manage monthly vendor invoicing, reconciliation, and MIS reporting.

Coordinate effectively with operations, curatorial, and exhibition teams.
Promote a culture of accountability, precision, and care in artwork handling and logistics.

Optimise costs while maintaining quality and safety standards.
Ensure accurate daily, weekly, and monthly MIS reporting.
Achieve timely vendor billing, tracking, and reconciliation.
