This is an exciting opportunity to join NHS Greater Glasgow and Clyde's Public Health Directorate as a permanent senior support officer. As part of our Health Services/PHPU Admin team, the role provides programme support to a range of teams who protect the health of the local population from environmental hazards and communicable and infectious diseases, and improve the health of the population through the planning, implementation and evaluation of health services. This includes supporting teams such as the Public Health Screening Programmes and providing support to Consultants Public Health (Medicine), Programme Managers, Specialist Registrars and our General Manager.
NHS Greater Glasgow and Clyde is the largest health board in Scotland and provides a Public Health Protection Service to over 1.2 million people. This role is responsible for supporting Bowel Screening Programme, Breast Screening Programme, Children and Young People Mental Health, providing admin support for the cervical screening audit. This programme support includes preparing papers and minutes for all related meeting, following up actions, supporting programme managers and project leads with all admin requests. Managing the financial monitoring for all purchases within PHPU and Health Services, answering incoming calls into the PHPU team and following pathways on handling all infectious disease notifications, minuting IMT/PAG meetings relating to the above Programmes and also for infectious disease outbreaks.
Duration, Location, and Working Pattern:
This is a permanent post of 37 hours per week.
Based at Public Health Protection Unit, 1st Floor, West House, Gartnavel Royal Hospital Campus
The shift pattern for this post is Tuesday to Friday, 9am-5pm.
Key Responsibilities
Provide confidential, efficient and effective secretarial, administrative and clerical support to Head of Section and designated managers within the Health Services Section including:
- managing e-mails by evaluating and proactively actioning where appropriate, or assigning these directly to relevant staff for action within required timescales. Provide up-to-date progress reports on actions progressed.
- managing diaries efficiently eg making appointments and arranging meetings, dealing with and actions where appropriate.
- Dealing with telephone enquiries to ensure the managers time is effectively utilised.
- Supporting managers with administrative and organisational duties on a daily basis to allow them to focus on their core responsibilities.
Knowledge, training, qualifications and/or experience required to do the job:
Essential
- Higher National Certificate Business Administration or equivalent
- 3 years relevant experience
- Minute taking skills
- Organisational and communication skills
- Excellent numeracy skills
- Proficient in use of Microsoft Word along with knowledge of other principal Microsoft Office packages eg Word, Excel, Access, and Powerpoint
- Working on own initiative and to strict deadlines
- Tact, sensitivity and diplomacy
- An understanding of and the ability to maintain confidentiality and clear understanding of Data Protection Act and Freedom of Information Act
Desirable
- Working knowledge of Microsoft Project, Visio
- Experience of maintaining websites

From 1 April 2026, the Agenda for Change full-time working week will reduce from 37 hours to 36 hours. Part-time working hours will be reduced on a pro-rata basis. A corresponding increase in the hourly rate will apply, ensuring that overall pay remains unchanged.
