3. JOB DESCRIPTION/ RESPONSIBILITIES:
Reporting to the Group Manager Procurement, the Senior Procurement Manager Museum, Exhibitions & Marketing (SPM-MEM) will lead procurement across KNMA's museum operations, exhibitions, and marketing functions. The role will focus on strengthening the vendor ecosystem for niche museum requirements, ensuring timely sourcing for exhibitions and installations, and overseeing marketing procurement, with particular emphasis on BTL categories and annual ATL contract renewals.
The incumbent will work closely with the curatorial, exhibitions, design, marketing, and outreach teams to deliver efficient, compliant, and cost-effective procurement outcomes.
Key Job Responsibilities:
(A) Vendor Base Development:
(1) Build and expand a robust vendor network for niche museum needs, fabrication, art logistics, AV systems, event management and BTL marketing;
(2) Identify, evaluate, and onboard new suppliers to reduce single-vendor dependency;
(3) Maintain an up-to-date vendor database supported with relevant card-rates for recurring activities with performance tracking.
(B) Museum & Exhibition Procurement:
(1) Build vendor base for art handling, packing, conservation materials, exhibition supplies, fabrication, printing, lighting, AV systems, documentation, display infrastructure and local and international logistics;
(2) Coordinate with curatorial, exhibitions, design, and technical teams to forecast requirements and lead seamless procurement for build-outs and installations.
(C) Marketing, Educational Outreach and Cultural Events Procurement:
(1) Lead procurement for all museum events and outreach programmes including venue setup, AV systems, indoor and outdoor signage, promotional material printing, art material for workshops, experiential elements, catering services, and on-ground installations;
(2) Oversee procurement for BTL marketing categories, including digital asset production and influencer-led activations;
(3) Standardise rate cards, diversify and strengthen vendor options, and optimise spending across categories;
(4) Manage the annual ATL agency contract through benchmarking, commercial evaluation, scope assessment, and performance review.
(D) Procurement Planning, Operations & Governance:
(1)Develop procurement plans aligned with exhibition calendars, programme schedules, and marketing timelines;
(2) Manage tenders, RFQs, POs, and all procurement documentation as per institutional procedures;
(3) Draft and review contracts for services, fabrication, logistics, media, and art transport, in coordination with legal and finance;
(4) Ensure compliance with institutional policies, sustainability guidelines, and financial controls;
(5) Provide cost insights, vendor recommendations, and market benchmarks during planning and budgeting;
(6) Conduct price benchmarking, supplier capability assessments, competitive bidding, and e-auctions to enhance efficiency and cost effectiveness;
(7) Track industry trends in exhibition production, art logistics, and marketing procurement to inform category strategies.
4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Applicants must possess a Bachelor's degree in Procurement, Supply Chain Management, Business Administration, or Commerce from a recognized university or institution. A Master's degree in Business Administration or a specialization in Procurement, Supply Chain, or Operations Management from a reputed institute is desirable
Experience
(1) Minimum 10 years of relevant procurement experience, preferably across museums, exhibitions, cultural institutions, or allied environments such as large-scale events, experiential marketing, luxury retail, hospitality, media, design, architecture, or other project-based environments involving specialised fabrication and service procurement.
(2) Proven experience managing BTL marketing procurement, fabrication projects, and vendor governance.
Skills and Competencies
(1) Experienced in commercial analysis, negotiation, and spend optimization across diverse procurement categories.
(2) Knowledge of procurement governance, compliance, contracts, and sustainable, ethical sourcing practices.
(3) Skilled in advanced Excel, ERP procurement systems, e-tender platforms, and market intelligence tools.
(4) Experienced in building and managing vendor networks for art handling, fabrication, and marketing, reducing single-source risks.
(5) Adept at stakeholder engagement, relationship management, and cross-functional collaboration.
(6) Passionate about arts, culture, and museum operations, with adaptability to dynamic exhibition and project timelines.
