We're seeking a highly motivated and detail-oriented Senior Operations Manager - MICE (Meetings, Incentives, Conferences, and Events) and Corporate Travel Coordinator to join our team in Mumbai. This pivotal role requires a professional with exceptional communication skills, a strong aptitude for numbers and financial analysis, and proven experience in planning and executing diverse MICE and corporate travel programs.
This is a full-time, work-from-office position based in Mumbai.
Roles & Responsibilities
- End-to-End Coordination: Plan, organize, and execute all aspects of MICE programs, including venue selection, vendor negotiation, logistics management (flights, accommodation, ground transport), and on-site support.
- Budget & Financial Management: Develop detailed program budgets, manage expenses, track payments, and conduct post-event financial reconciliation. Your comfort with numbers is crucial for ensuring profitability and financial accuracy.
- Vendor Relations: Source, evaluate, and manage relationships with airlines, hotels, DMCs (Destination Management Companies), and other relevant suppliers to secure the best rates and services.
- Documentation: Prepare comprehensive proposals, presentations, contracts, and post-event reports.
Corporate Travel Coordination
- Booking Management: Handle complex domestic and international corporate travel bookings (flights, rail, hotels, car rentals) for key clients using GDS (Global Distribution System) or other booking platforms.
Communication & Client Relations
- Client Engagement: Serve as the primary point of contact for clients, clearly understanding their objectives for MICE events and travel needs. Excellent verbal and written communication is essential to effectively convey proposals, updates, and solutions.
- Internal Collaboration: Liaise effectively with sales, operations, and finance teams to ensure seamless service delivery.
- Issue Resolution: Proactively identify potential issues and communicate resolutions swiftly and professionally to all stakeholders.
Desired Experience & Qualifications
- Minimum 10 years experience in MICE, of which 3 should be in management position
- Minimum 5 years in the Travel Industry
- Excellent command of spoken and written English
- Excellent Organizational and administration skills
- Project management skills
- Negotiation skills
- Creative and out of the box thinking
- Solid level of Maturity and professionalism to manage a program on the ground with the customer
- Excellent domestic, regional, and international travel experience
- Must be fully proficient with PowerPoint, Word, and Excel
- Excellent understanding of MICE trends and tech used in MICE
