Job Description

Reporting To: Director

Location: (Goregaon West)

Position Purpose: To manage HR, people, admin operations, reporting, and cultural alignment of the company.

Salary: 5 to 6 lpa

1. Attendance & Daily HR Operations

Maintain daily attendance for every employee.

Ensure timely reporting and highlight delays/absences proactively.

Maintain monthly attendance sheets accurately for payroll.

2. Recruitment & Hiring Process

Post job openings on LinkedIn, Naukri, Apna Jobs, Internshala, and other platforms.

Source and shortlist candidates as per role requirements.

Schedule interviews and coordinate with Directors.

Send Personal Aspiration Form after the interview.

Conduct follow-ups and communication until joining.

Negotiate salary and finalize as per company structure.

Confirm joining date and ensure smooth transition

3. Onboarding & Documentation

Prepare and issue the Offer Letter, Appointment Letter, and Welcome Letter.

Collect personal documents and maintain Employee Files (Digital + Physical).

Create official email IDs for every new team member.

Maintain and update employee master records.

4. Weekly Performance Tracking & Reporting

Maintain individual employee performance trackers on Excel/Sheets.

Coordinate with every department to collect weekly progress reports.

Ensure all team reports are submitted by Saturday without fail.

Compile the final Company Performance Report and share with the Director every Monday morning.

5. Office Assets & Admin Responsibilities

Maintain stock and records of computers, mobile phones, hard drives, and other equipment.

Ensure proper handover and return documentation for all company assets.

Maintain office supplies and ensure the workspace runs smoothly.

6. Director Assistance & Calendar Management

Manage Directors daily calendar and schedule meetings.

Coordinate interviews, internal check-ins, and review meetings.

Assist in emails, letter drafting, reminders, and important communications.

Handle printouts, notices, circulars, and documentation as required.

7. Employee Engagement & Work Culture Building

(This is a core part of the HR role.)

Plan weekly employee engagement activities (small games, challenges, bonding activities).

Celebrate birthdays and ensure thoughtful acknowledgment.

Send appreciation emails and internal motivation messages regularly.

Maintain a positive, respectful, growth-oriented atmosphere in the workplace.

Plan and announce Employee of the Month every month with proper evaluation and communication.

8. Weekly Training & Learning Coordination

Every team must have weekly learning goals.

HR ensures:

Training schedule is fixed weekly.

Content for learning is sourced/coordinated (videos, tutorials, internal seniors, etc.).

Attendance is taken.

Progress is recorded and shared during weekly reports.

9. Exit Interviews & Structured Exit Process

When an employee resigns:

Schedule and conduct a formal exit interview to understand reasons for leaving.

Collect feedback, document learnings, and highlight patterns if any.

Ensure proper asset return and closing documentation.

Remove access to email and internal systems as required.

Work Ethic & Behavior Expectations

Should be proactive, not reactive.

Must have strong follow-up discipline.

Must maintain confidentiality, balance, and neutrality.

Should hold a responsible and emotionally mature approach.

Should act as the central coordinator ensuring smooth functioning across teams.

Outcome Expected from This Role

Company runs smoothly, people stay engaged, performance is tracked, teams continue learning, and the Director receives accurate weekly visibility of work.
