Job Description

Job Title: Assistant Manager / Senior Executive – HR Operations

Key Responsibilities

  • Onboarding & Induction
    • Manage end-to-end onboarding and conduct induction sessions for new employees.
    • Coordinate joining formalities, documentation, and bank enrollment for salary processing.
    • Support administration of employee benefits and communicate conveyance limits to the Accounts team.
  • Contract Employee Management
    • Manage onboarding, contracts, renewals, and exit formalities for contract employees.
    • Coordinate payroll inputs and ensure compliance with applicable labour laws and statutory requirements.
  • Attendance & Leave Management
    • Monitor attendance and leave records through the HRMS system.
    • Address discrepancies and generate periodic reports for review and analysis.
  • Payroll Coordination
    • Prepare and share monthly payroll inputs including leave deductions, reimbursements, new joiner bank details, and exit inputs.
    • Coordinate with payroll consultants for statutory updates and exit formalities.
  • Probation & Confirmation Management
    • Track probation periods and ensure timely review as per company policy.
    • Schedule and coordinate 30-60-90 day review meetings with employees and stakeholders.
    • Process employee confirmations and issue confirmation letters.
  • HRMS Management
    • Maintain HRMS data including employee records, attendance, leave, and separation workflows.
    • Coordinate with HRMS vendors for implementation, issue resolution, and system improvements.
    • Process HRMS-related invoices and coordinate payments with Accounts.
  • Employee Engagement & Culture Initiatives
    • Plan and coordinate engagement activities such as birthdays, work anniversaries, and team events.
    • Manage employee recognition initiatives and farewell arrangements for exiting employees.
  • Statutory Compliance
    • Facilitate employee registrations for PF and ESIC and maintain statutory records.
    • Ensure compliance with labour laws and company policies.
  • Expense & HR Operations
    • Oversee employee expense submissions and reimbursements as per company policy.
    • Ensure smooth coordination between employees, HR, and management for operational matters.
  • Employee Records Management
    • Maintain employee personal files ensuring completeness, accuracy, and audit compliance.
    • Conduct periodic checks to ensure records are updated and ready for audits.
  • HR Operations Support
    • Ensure timely execution of HR processes and operational efficiency.
    • Support HR leadership in implementing HR policies, process improvements, and organizational initiatives.
Skills

REQUIRED SKILLS, QUALIFICATION AND EXPERIENCE:

  • Excellent verbal and written communication skills, with the ability to interact effectively with employees at all levels of the organization.
  • Ability to work independently with minimal supervision, making sound decisions and taking ownership of HR initiatives.
  • High on ethics and integrity
    • Proficiency in handling multiple tasks and responsibilities simultaneously, efficiently managing HR processes and projects.
    • Skill in developing and implementing well-structured HR plans and strategies that align with organizational goals.
    • Efficiently managing time and resources to meet deadlines and ensure timely completion of HR tasks and projects.
    • Strong follow-up skills to ensure that HR actions and initiatives progress as planned and are effectively executed.
    • The capability to analyze HR data and metrics to make informed decisions and improvements in HR practices.
    • Proficiency in negotiation techniques, especially in HR-related matters such as employee contracts and benefits.
    • Ability to work in pressure and adhere to timelines.
Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field (Master's degree preferred).
  • 3-6 years of experience in HR, with a focus on HR operations and employee engagement.
  • Strong knowledge of HR policies, labor laws, and best practices.
  • Proven ability to manage multiple tasks and prioritize effectively.
  • Proficiency in HR software and tools.
