Senior Executive

Purpose

Procurement Executive with a focus on PO (Purchase Order) creation in SAP, vendor compliance, follow-ups, and material delivery management. The ideal candidate will have a basic understanding of cost negotiation, as well as technical knowledge in Operational Expenditures (Opex) purchases. This role will be pivotal in ensuring the smooth and efficient procurement process, meeting operational needs, and optimizing supply chain management.

Job Responsibilities / Deliverables

PO Creation in SAP: Accurately create and manage purchase orders (POs) in the SAP system, ensuring all required details are entered correctly (material specifications, quantity, price, delivery terms). Monitor PO status and update accordingly to ensure timely order processing.

Vendor Management & Compliance: Maintain and update the vendor database in SAP and other procurement systems. Ensure vendor compliance with contractual terms, delivery timelines, and quality standards. Communicate with vendors regarding any discrepancies in orders or delivery issues and facilitate timely resolution.

Follow-Up & Material Delivery: Track and monitor order status and delivery schedules, proactively following up with vendors to ensure on-time deliveries. Coordinate with internal teams to ensure materials are received in alignment with project or production timelines. Assist with goods receipt and reconcile received items with purchase orders.

Cost Negotiation Support: Assist in cost negotiations with suppliers to achieve favourable pricing and terms. Provide cost breakdown analysis for procurement related to Opex purchases. Evaluate market trends and vendor quotations to support the procurement team in cost optimization efforts.

Technical Understanding: Collaborate with technical teams to understand product requirements for Opex purchases, ensuring procurement meets the technical specifications and quality standards. Ensure that procurement activities align with operational needs and project specifications.

Reporting & Documentation: Maintain accurate records of procurement transactions and ensure documentation is compliant with company policies. Prepare procurement reports related to vendor performance, purchase orders, material delivery status, and cost analysis for management review.

Continuous Improvement: Identify and suggest process improvements for more efficient and cost-effective procurement operations. Stay up to date with procurement best practices and industry trends.

Qualifications & Pre-Requisites

Bachelor's degree in engineering.

2-3 years of experience in procurement, with a focus on PO creation and vendor management.

Strong working knowledge of SAP or similar ERP systems.

Familiarity with procurement processes and material management.

Basic understanding of Opex purchases, including cost analysis.

Strong communication skills, both written and verbal.

Ability to work independently, manage multiple tasks, and meet deadlines.

Negotiation skills and an analytical mindset are a plus.

Additional Notes

Must be flexible and willing to work as per work in different geographical locations.

Expected to visit all locations in India and overseas as per work requirement.
