Job Description

Mandate 3 Employees will work fulltime from their base location i.e. Bangalore.

Key Responsibilities

Contract & Vendor Lifecycle Management:

Contract Coordination: Independently coordinate with business teams and external vendors to ensure the timely closure and execution of new contracts, ensuring all required documentation is complete.

Vendor Onboarding: Facilitate the vendor setup process in our financial systems, ensuring all necessary details (banking, tax information, etc.) are accurately captured for smooth payment processing.

Documentation Management: Maintain a centralized and organized repository for all vendor contracts, amendments, and related documents, making them easily accessible for audits and reviews.

Invoice Processing & Billing Review

Invoice Management: Manage the end-to-end invoice processing cycle, from receipt and initial verification to securing approvals and submitting them to the Accounts Payable team.

Billing & Overage Analysis: Scrutinize invoices against contract terms and purchase orders. Proactively identify, investigate, and help resolve discrepancies, including billing for overages or variations in service levels.

Payment Coordination: Act as the primary liaison with the Accounts Payable team to track invoice status, resolve payment-related queries, and ensure timely and accurate vendor payments.

Coordination, Reporting & Process Support

Stakeholder Coordination: Serve as the central point of contact between business functions, the central Finance team, and vendors for all queries related to contracts, billing, and payments.

MIS & Reporting: Prepare and maintain trackers and regular reports on contract status, invoice aging, and payment cycles to provide clear visibility to management and drive the closure of open items.

Month-End Support: Assist the Finance team during month-end closure by providing necessary accrual inputs and supporting documentation for vendor costs.

Process Improvement: Identify gaps or bottlenecks in the current contract and invoice management process and suggest practical improvements to enhance efficiency and accuracy.

Desired Skills -

2-3 years of relevant experience in a finance operations role, with a focus on accounts payable, accounts receivable, or MIS.

Experience in a fast-paced, high-volume environment (like tech, e-commerce, or startups) is a plus.

Proficiency is essential for creating and managing trackers, performing reconciliations, and generating reports.

A good understanding of the Procure-to-Pay (P2P) cycle, including purchase orders, invoicing, and vendor payments.

A meticulous approach is critical for reviewing contracts, verifying invoice details, and ensuring data accuracy.

The ability to work independently, identify potential issues (like billing discrepancies or process delays), and take the initiative to find solutions.
